Logistics Coordinator

OVERVIEW OF THE POSITIONThe Logistics Coordinator manages the end-to-end movement of equipment for all Data Center projects, ensuring timely, accurate, and cost-effective transportation from suppliers, contract manufacturers, and warehouses to customer sites.
This role is central to maintaining installation and commissioning readiness, protecting project schedules, and ensuring compliance with export, import, and domestic freight requirements. You will work closely with Project Managers, Supply Chain, Procurement, Master Scheduling, suppliers, freight forwarders, and brokers to ensure critical long-lead equipment arrives complete, compliant, and on time.
Key Responsibilities
Shipment Planning & Coordination
- Plan and coordinate shipments for PCS/inverters, MV switchgear, transformers, ATS, skids, BESS
components, and balance-of-system materials. - Align shipment dates with the Master Scheduler and Project Managers to ensure readiness for
installation and commissioning. - Confirm packaging, crating, labeling, and documentation requirements per project and vendor.
Supplier & Carrier Management
- Coordinate pickups, transit arrangements, and delivery schedules with suppliers, 3PL partners, and freight carriers.
- Validate supplier packing lists, weights, dimensions, and Incoterms.
- Track and resolve shipment delays, damages, or documentation issues.
Documentation & Compliance
- Prepare and manage shipment documentation (BOL, commercial invoices, packing lists,
certificates of conformity, serial/asset lists). - Ensure compliance with domestic transport regulations, international export requirements, and
customer-specific site rules. - Maintain accurate shipment records for Finance, PMO, and commissioning teams.
Project Support & Communication
- Provide regular shipment status updates to PMs, Master Scheduler, Procurement, and Field Services.
- Support customer site readiness checks (delivery windows, crane/forklift requirements, restricted-access rules).
- Help project teams plan around staged deliveries, multi-load shipments, and backorders.
Logistics Tracking & Reporting
- Maintain logistics trackers, dashboards, and Smartsheet/Power BI reporting tools.
- Support continuous improvement of logistics workflows, templates, and standards.
Issue Resolution & Risk Management
- Escalate shipment risks early (supplier delays, carrier capacity issues, missing documents).
- Work with Procurement and Master Scheduler on recovery plans when logistics disruptions threaten project schedules.
- Manage freight claims, damage reports, and corrective actions with carriers and suppliers.
Required Experience
- 3–7 years in Logistics Coordination, Supply Chain Operations, or Freight/3PL management—ideally in engineered-to-order equipment, electrical systems, or industrial project delivery.
- Experience coordinating shipments of large or complex equipment (ideally switchgear, transformers, industrial skids, or similar).
- Strong understanding of freight operations (LTL, FTL, flatbed, heavy haul, project cargo).
- Experience importing from Mexico, Asia and Europe, ideally heavy industrial or electrical equipment.
- Working understanding of HTS classification, customs requirements, ISF, Incoterms, and freight documentation.
- Proficiency with logistics tracking tools (Smartsheet, Excel, ERP/SCM modules).
- Ability to read and validate packing lists, bills of lading, purchase orders, and technical shipping requirements.
- Clear, disciplined communicator who can manage multiple stakeholders and fast-moving schedules.
Preferred experience and skills
- Prior exposure to UPS/PCS, MV electrical equipment, transformers, or power-electronics project cargo.
- Experience with 3PLs, jobsite deliveries, and customer-site coordination for industrial projects.
- Hands-on experience managing ocean freight, air freight, LCL/FCL, drayage, and final-mile
delivery. - Familiarity with master scheduling, S&OP processes, and project-based execution environments.
