Nuclear Services Administrative Supervisor

About the role

The Nuclear Services Administrative Supervisor is responsible for leading the day-to-day administrative operations that support TNC Services' field operations and leadership team. This role oversees critical back-office functions including payroll administration, timekeeping, billing support, employee onboarding coordination, records management, reporting, and administrative processes that enable the successful execution of outage and field service operations.

Working closely with Services Leadership, Operations, Human Resources, Finance, and field personnel, the Nuclear Services Administrative Supervisor ensures administrative processes are efficient, accurate, and compliant while providing exceptional support to employees and customers. This position also supervises a small administrative team, driving operational consistency, process improvement, and high-quality internal service.

Responsibilities

Administrative Operations

  • Oversee the day-to-day administrative functions supporting TNC Services operations.
  • Develop, implement, and continuously improve administrative processes and workflows to enhance operational efficiency.
  • Ensure administrative records, documentation, and files are accurate, organized, and maintained in accordance with company policies.
  • Serve as the primary administrative resource for the Services Leadership Team.

Payroll, Billing & Workforce Administration

  • Manage the end-to-end payroll time collection process to ensure employees are paid accurately and on time.
  • Oversee billing administration, including pay rates, bill rates, and customer billing support.
  • Coordinate with General Managers, field leadership, and Finance to ensure timely submission and approval of employee timesheets.
  • Identify, investigate, and resolve payroll, billing, and timekeeping discrepancies.
  • Maintain accurate workforce records and administrative documentation supporting outage and field service personnel.

Employee Support & HR Coordination

  • Coordinate employee onboarding activities in partnership with Human Resources.
  • Maintain employee records and ensure required employment documentation is complete and current.
  • Support compliance with company policies, health and safety requirements, and administrative procedures.
  • Assist with employee communications and administrative support throughout the employee lifecycle.
  • Coordinate administrative activities supporting a large seasonal and outage workforce.

Systems & Process Management

  • Serve as the primary administrator for the Infiniti platform, including onboarding, user support, and ongoing system maintenance.
  • Ensure data integrity across administrative systems and databases.
  • Generate reports, dashboards, presentations, contracts, and other documentation supporting operational and leadership decision-making.
  • Identify opportunities to automate or improve administrative processes.

Leadership Support

  • Coordinate calendars, meetings, travel arrangements, and communications for the Services Leadership Team.
  • Serve as the primary point of contact for internal departments supporting TNC Services.
  • Support vendor coordination, office operations, supply management, and equipment administration.
  • Assist in planning team meetings, employee recognition activities, and operational events.

Team Leadership

  • Supervise, mentor, and support a team of administrative professionals.
  • Delegate work effectively while ensuring timely completion of administrative activities.
  • Conduct performance evaluations and support employee development.
  • Foster a culture of collaboration, accountability, customer service, and continuous improvement.

Required Qualifications

  • Bachelor's degree in Business Administration, Office Management, Human Resources, or a related field, or an equivalent combination of education and relevant experience.
  • 5+ years of progressively responsible administrative, office management, or operations support experience.
  • 2+ years of supervisory or team leadership experience.
  • Demonstrated experience administering payroll, billing, timekeeping, or workforce administration processes.
  • Experience supporting multiple departments within a fast-paced operational environment.
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Experience managing calendars, reporting, documentation, and administrative systems.
  • Excellent written, verbal, organizational, and interpersonal communication skills.
  • Strong attention to detail with exceptional organizational and multitasking abilities.

 

Preferred Qualifications

  • Experience supporting nuclear, power generation, industrial services, construction, or staffing organizations.
  • Experience supporting large seasonal or project-based workforces.
  • Familiarity with Infiniti, SAP, or similar workforce management and payroll systems.
  • Experience supporting executive or senior leadership teams.
  • Knowledge of payroll processing, billing administration, and workforce compliance requirements.
  • Experience coordinating employee onboarding and HR administrative activities.

 

Work Environment & Travel

  • Primarily office-based position supporting TNC Services operations.
  • Occasional travel may be required for meetings, events, or support of field operations.
  • Flexibility to support payroll processing deadlines, outage schedules, and operational priorities as needed.
  • May require extended hours during peak outage seasons or payroll processing periods.

Estimated Starting Salary Range
The estimated starting salary range for this role is $88,000 - $109,000 annually less applicable withholdings and deductions, paid on a bi-weekly basis. The actual salary offered may vary based on relevant factors as determined in the Company’s discretion, which may include experience, qualifications, tenure, skill set, availability of qualified candidates, geographic location, certifications held, and other criteria deemed pertinent to the particular role.
