Position Overview

We are seeking a detail-oriented and compassionate Patient Scheduling Coordinator to join our Patient Access Services team. In this role, you will manage appointment scheduling for office visits, labs, radiology, and infusions, while serving as a key liaison between patients and providers. The ideal candidate is organized, service-driven, and thrives in a fast-paced environment.

Key Responsibilities

  • Schedule and reschedule initial office visits, labs, radiology tests, and infusion appointments via phone, fax, and email.
  • Manage scheduling changes for Physicians and Nurse Practitioners.
  • Handle new internal referral scheduling for all Physicians.
  • Respond to incoming patient scheduling calls and emails professionally and promptly.
  • Send reminder and rescheduling letters.
  • Communicate scheduling issues or concerns to the Director/Manager in a timely manner.
  • Provide patients with general information, including doctor’s excuses.
  • Cross-train with other schedulers to ensure operational continuity.
  • Uphold patient dignity and confidentiality at all times.
  • Maintain punctuality and adhere to attendance policies.
  • Participate in staff meetings and training of new employees as assigned.
  • Coordinate with internal departments including Medical Records, Insurance, Nurses, and Physicians to ensure seamless scheduling support.
  • Perform other duties as assigned.

Qualifications

Education & Experience

  • High school diploma or GED required.
  • At least 6 months of related scheduling or office experience preferred.
  • Equivalent combinations of education and experience may be considered.

Skills & Abilities

  • Excellent organizational, communication, and follow-up skills.
  • Ability to multitask and manage competing priorities in a fast-paced setting.
  • Strong problem-solving and customer service abilities.
  • Proficient in basic math and common office software, including email and word processing tools.
  • Able to read, write, and communicate instructions and reports clearly.
  • Comfortable working both independently and as part of a team.
  • Physically able to stand and walk for extended periods; capable of light travel as needed.
