The Clinic Manager is a dynamic leader responsible for overseeing the daily operations of the clinic, ensuring clinical and operational excellence, and fostering a supportive and collaborative team environment. This role demands strong leadership, integrity, emotional intelligence, and exceptional organizational skills to drive performance, develop staff, and maintain high standards of patient and employee satisfaction. Key responsibilities include managing clinic processes, focusing on key metrics, supporting patient coordinators, developing the Physical Health team, and ensuring effective communication and problem-solving. The Clinic Manager also upholds the clinic's core values, models excellence in patient care, and fosters an environment of respect, recognition, and meaningful work.
 
Essential Duties and Responsibilities:
  • Drive Excellence and Leadership:
    • Lead the clinic with integrity, humility, empathy, and optimism.
    • Promote a culture of trust, collaboration, and partnership among the team.
    • Build strong relationships with patients and their families, coaching team members to do the same.
    • Model Woven Care’s core values
    • Communicate effectively, starting with the 'why' and aligning with the broader organizational vision.
  • Clinical and Operational Excellence:
    • Demonstrate exceptional understanding of all clinic processes, procedures, and services.
    • Maintain focus on key metrics (billed hours, retention, eNPS, cNPS), holding the team accountable for driving results and removing barriers to success.
    • Manage and support patient coordinators to maintain a robust waitlist, maximizing access to clinical care.
    • Oversee timecards and PTO requests for all Physical Health team members.
  • Team Development and Support:
    • Coach and develop the clinic’s Physical Health team, providing clear performance expectations and conducting performance reviews.
    • Celebrate team and individual successes, sharing significant events with the Marketing Lead for social media when appropriate.
    • Support the team with empathy while maintaining high expectations, understanding individual goals, and ensuring meaningful work.
  • Performance Management:
    • Measure and report on the clinic’s overall metrics and productivity, working directly with therapists and patient coordinators to reach monthly productivity expectations.
    • Complete and maintain written documentation of performance management efforts using provided forms, and promptly send to HR.
    • Handle staff performance deficits related to competencies/skills in collaboration with Department Heads and Lead Therapists.
    • Complete Quarterly Reviews for all staff, sending them to HR for employee files.
    • Administer appropriate pay raises with the support of the Regional Manager/Department Heads as clinicians advance levels.
    • Work with HR and Department Heads to determine staffing needs.
  • Administrative Duties:
    • Lead daily huddles
    • Manage the monthly budget, ensuring fairness in department requests and operational expenses.
    • Coordinate with Finance & Facilities using the maintenance ticket request system for items outside the budget, service requests/repairs, and new hire setup.
    • Communicate with administrative departments to implement necessary changes and follow up with therapists when needed.
    • Engage in problem-solving to promptly handle issues, using professional judgment to escalate when necessary.
    • Be familiar with the clinic handbook to accurately communicate and enforce policies and procedures.
  • Patient and Employee Satisfaction:
    • Model excellence in patient care, achieving personal productivity goals.
    • Build excellent relationships with the families we serve and ensure front-facing customer service excellence.
    • Foster an environment of respect, recognition, autonomy, personal growth, and meaningful work.
  • Accountability and Goal Setting:

    • Meet and exceed the clinic’s goals for retention and billed hours.
    • Maintain all necessary documentation related to performance management.
    • Ensure achievement of PC-specific KPIs and goals through partnership with the PC.

Compensation:

  • Salary/Exempt
  • $75,000-$98,000/year (discipline, and experience-dependent)
  • Performance-based bonus

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Minimum of 3 years of clinical experience
  • Minimum of 1 year of Woven Care experience
  • Operates from a growth mindset.

  • Clear and effective communicator

Physical Requirements:

  • Kneeling and/or sitting on the ground
  • Performing squatting maneuvers
  • Transitioning between standing and floor-level positions
  • Engaging in bending or stooping motions
  • Lifting up to 50lbs
  • Executing lateral and backward pivots or shuffles
