Team structure 

There are essentially four sub areas reporting into the MCoS namely the PMO; MOps; Analytics/Reporting and Financial Management. The MCoS is the right arm of the CMO when it comes to operational efficiency and effectiveness.

  • Program Management Office (PMO):

The Program Management Office creates a more efficient, effective, and collaborative org through the development and optimization of processes, workflows, procedures, and tools. They are the administrative quarter back to the entire marketing org and critical for the success of all major departmental projects. 

  • The PMO develops and supports a framework which helps to govern key programs and projects including planning, deployment, and monitoring activities with the wider team. 
  • Ensuring timelines, budget and OKRs are established, and collaborating with teams to continue monitoring performance throughout the related timeline. 

The PMO is the beating heart of a high performing marketing organization, without such a team, a modern marketing organization can never become or maintain a high-performance status. The CoS ensures the PMO is always on track, this is a core requirement of their role. 

The Director Marketing, PMO and their team (three) reports into the Marketing Chief of Staff (MCoS). 

  • Marketing Operations (MOps):

The Marketing Operations team delivers the mission critical infrastructure (systems, protocols, and applications) upon which all dynamic marketing matters are operated in, on, from and off. This team is responsible for ensuring a modern dynamic and high performing marketing team can operate successfully. 

Leading a successful MOps team requires an in-depth understanding of the marketing practice, its intended outcomes and impact and what best in class systems optimization means. The CoS manages a Director, Marketing Operations, who has this range and scope. 

The Director of Marketing Operations (MOps) and their team (four) reports into the Marketing Chief of Staff (MCoS). 

  • Analytics & Reporting: 

A dedicated Marketing Analytics Manager reports into the Marketing Chief of Staff.  This dedicated analyst working on behalf of the marketing organization is a resource to be leveraged primarily by the MCoS & the Vice President of Demand Generation. They are essential to how we track and manage performance. 

  • Financial Management:

A Senior Project Manager responsible for processing invoices, purchase requisitions, purchase orders & related reports into the CoS. They help the MCoS to stay on top of the department's spending and related forecasting. The MCoS is expected to lead here and to know the wider view of how the org is doing performance and spend wise.

 

Line Management & Support: 

The MCoS reports directly to the CMO. They are a peer and cheerleader for other senior marketing leaders. They manage four sub-areas. They will also manage, advise, or guide other teams, contractors, and agencies. 

They are a member of the Marketing Council and have an umbrella function that spans all teams in the marketing department. 

Along with CMO, Vice President for Demand Generation, the MCoS will avail of the Executive Assistant to the office of the CMO for specific matters to do with travel, visas, events & general administration (excluding expense reporting). 

 

What you will do…

  • Implement a high performing, efficient operational PMO & Mops team(s)
  • Operate optimal analytics, reporting and financial management function 
  • Develop an efficient, streamlined PMO delivery framework, deploy it globally 
  • Establish a governance process to manage project/program delivery, timelines, budget, and resources. This process will be effective in managing timelines, budget and delivery and assist with planning of new initiatives within the global marketing team
  • Own accountability for all finance / budget / spend tracking, measurement and forecasting on a global basis for the marketing organization. 
  • Create a robust and regular program/project “health check” for marketing initiatives that can be given to the CMO, project delivery teams and leadership groups on a frequent basis. 
  • Own the development, production and maintenance of all Board of Directors reporting on behalf of the office of the CMO. 
  • Producing performance analysis and optimization reports as & when needed both at the departmental and individual initiative level as required by the CMO
  • Mentor and guide teams through challenges, providing an escalation path and tools to navigate the unforeseen (where possible)
  • This role will collaborate with peers at all levels within the organization, to become the trusted advisor for the CMO and Marketing Council 
  • Develop a process for vendor onboarding and management (including spend) on a consistent basis. 

 

What we expect…

  • Must have a minimum of 12 years’ experience as a Chief of Staff, PMO Lead, Senior Project Management Consultant or in a related role 
  • Do not require Cyber experience but must have worked with a SaaS company.
  • Should have deep domain knowledge and expertise in the marketing disciplines and practice or suitable equivalence 
  • Must have a proven track record of successful people management, this is key to success in this role 
  • Must have experience in establishing and managing a Project Management Office and its operating model and/or optimizing a Mops organization 
  • Excellent practical and tactical knowledge of PMO governance models and design challenges
  • Demonstrate knowledge of how PMO’s support strategic vision and transformation initiatives
  • Must be able to demonstrate experience of developing and managing project budgets and spend
  • A solution orientated individual with a “can do” attitude
  • Demonstrable experience in process optimization, innovation, efficiency realization programs
  • Possess critical thinking and understands the company vision and how the global marketing department supports that
  • Must have managed and structured teams across a global distributed network and have a passion for mentoring teams to think differently
  • The successful candidate will have impeccable written, verbal and presentation communication skills
  • A leader who has excellent influencing skills and tools to establish relationships, elevate teams and engage individuals 
  • Must have experience of managing and onboarding vendors 

Salary range guidance for this position is: CAD$240,000-CAD$280,000 per year.
