JOB OVERVIEW:

Our Corporate Talent Acquisition (TA) Team is hiring a TA Operations Associate - Custom Hires. This position plays a critical role in the recruitment process, ensuring seamless operations and great customer service. This position involves heavy data entry and accuracy in our ATS (Greenhouse) as well as managing candidate offer letters, background checks, and assessment testing for candidates. The ideal candidate possesses strong attention to detail, excellent organizational skills, is very tech savvy, curious and has a customer-centric mindset, with a sense of urgency to assist others.

 

WHAT WE’RE LOOKING FOR:

  • Candidates with at least 2 years of relevant work experience, preferably working as part of a recruiting/talent acquisition team or part of the HR hiring and onboarding process.
  • Tech-savvy individuals who love working with and being gurus of various software programs – from standard Microsoft Office Suite programs to recruiting-specific software.
  • Candidates with strong written & verbal communication skills who enjoy working with people at all levels of an organization, and enjoy being a go-to resource, adept at handling unique situations with creative problem solving to find solutions.
  • Humble, hungry & smart team players who love being a part of & supporting a team, but also excel at working independently and being a self-starter.

WHAT YOU’LL DO:

Main responsibility is to seamlessly move already identified hires (custom hires) through the ATS system including, but not limited to: entering candidate information, generating offer letters when necessary, initiating background checks and assessments, and seeing the hiring process through to handoff to the Onboarding team. This role is critical to the hiring of custom hires and interacts with all levels of employees. A detailed list of job duties include (but are not limited to):

  • Act as the centralized function for all of EPIC for custom hires who may have employment agreements, are selected for hire by the business without TA involvement, or are selected for hire from a third-party vendor (without TA involvement).
  • Using Greenhouse ATS:
    • Enter candidate information into GH
    • Generate offer details and letters as applicable
    • Initiate and see through to completion background checks and assessments when applicable
  • Become a SME  of our recruiting and hiring technology tools, processes and programs.
  • Provide exceptional customer service to both candidates and hiring managers throughout the hiring process to help ensure they have a great hiring experience.
  • Collaborate with support teams (HR Ops, HRBP’s, and HRA’s, in particular) to facilitate onboarding of new custom hires.
  • Be an active member of the Talent Acquisition team, regularly participating in team meetings, functions, trainings, and supporting the Talent Acquisition Partners with recruiting tasks, as needed.
  • Collaborate and partner with TA Operations Associate colleague(s).
  • Work on special projects and initiatives as assigned.
  • Ensure adherence to Talent Acquisition and HR policies and procedures.
  • Maintain legal and regulatory compliance.

 

WHAT YOU’LL BRING:

  • 2+ years of relevant experience in talent acquisition or HR operations.
  • Technically inclined with proficiency in Microsoft Office Suite and other standard professional software programs; ATS and/or HRIS/HCM software experience preferred.
  • Strong written and verbal communication skills, able to interact with people at all levels, with a focus on building trust and relationships.
  • Ability to be a self-starter and self-directed, willing & able to research and find answers first, but also ask questions when necessary.
  • Team player who strives to provide great customer service to both internal and external customers, and be an active and involved member of a team.
  • Strong attention to detail and organizational skills, with the ability to manage changing priorities, interruptions, and multi-task.

 

COMPENSATION:

The base pay offered will be determined based on your experience, skills, training, certifications and education, while also considering internal equity and market data.
