
Operation Specialist

Your Role:
As an Operations Specialist, you will play a key role in supporting the company’s daily operations and internal procurement processes. You’ll be the bridge between HR, Finance, and cross-functional departments — ensuring that administrative, purchasing, and vendor operations run smoothly and efficiently. Basically, you’ll make sure our teams have everything they need to move fast, stay compliant, and deliver impact. This position will be based in New York City.
Key Responsibilities:
- Administrative Operations Manage daily office operations including supplies, logistics, and facilities coordination.
- Support HR for onboarding, office tour and seat allocation for our new hires in NYC office.
- Support departments with documentation, contract routing, and signature tracking.
- Coordinate travel arrangements, expense reports, and company events.
- Maintain record systems and ensure administrative compliance with company policies.
- Procurement & Vendor Management Oversee internal procurement workflow: request collection, quotation comparison, PO creation, and payment tracking.
- Liaise with Finance and HQ to align purchasing policies, vendor onboarding, and budget control.
- Evaluate vendor performance and maintain up-to-date supplier records.
- Track open purchase requests and ensure timely fulfillment.
- Cross-Functional Coordination Act as a central contact for HR, IT, Legal, and business department teams regarding operational requests.
- Support process optimization and documentation across departments.
- Provide regular reporting on purchasing, expense, and operations metrics.
- Continuous Improvement Identify workflow inefficiencies and recommend improvements to streamline procurement and admin processes.
- Assist in implementation of ERP or automation tools for operations tracking.
Basic Qualifications:
- Bachelor’s degree in Business Administration, Operations Management, or related field.
- 3–5 years of experience in administrative operations or procurement.
- Strong knowledge of office management, purchasing workflow, and vendor coordination.
- Excellent attention to detail, time management, and multitasking ability.
- Proficiency in Google Workspace / Microsoft Office; familiarity with ERP / procurement software is a plus.
Preferred Qualifications:
- Experience in tech, finance, or startup environments.
- Knowledge of cost optimization, contract review, or basic accounting principles.
- A proactive mindset with strong ownership and problem-solving ability.
- Comfortable working with multicultural teams and time zone coordination.
- Bilingual in English and Mandarin Chinese preferred
Salary Range:
($100,000 to $120,000 DOE), plus benefits and incentive plans
