Position Summary
General Atlantic is seeking an experienced, proactive, and solutions-oriented Executive Assistant to join our London Office, supporting three senior leaders across Portfolio Human Capital and Human Capital Management. This is a unique high-impact role suited for someone who thrives in fast-paced, dynamic environments and brings exceptional organisational, project management, and stakeholder engagement skills.
You will be central to orchestrating complex programs and executive searches, facilitating leadership workshops, managing large-scale meeting schedules, and ensuring seamless international travel arrangements. This role requires not only first-rate administrative capabilities but also curiosity, emotional intelligence, and the poise to manage relationships and drive clarity among senior stakeholders. You’ll collaborate globally with other Executive Assistants and demonstrate a ‘white glove’ service mentality in all interactions.
Responsibilities
- Coordinate and manage executive calendars, meetings, conferences, and travel for three senior team members.
- Provide comprehensive support for executive searches and recruitment processes for portfolio companies: diary management, candidate communication, notes and assessment support, and candidate database management in partnership with the Human Capital team.
- Oversee end-to-end logistics for meetings, conferences, and executive offsites, including invitations, catering, venues, and workspace arrangements for visiting leaders.
- Prepare meeting agendas and materials, track follow-ups, and maintain momentum on strategic initiatives.
- Maintain subscriptions, process expense reports, and support select personal tasks to facilitate executive productivity.
- Network and liaise with candidates and hiring managers as part of internal recruiting efforts, supporting external job postings, scheduling interviews and coordinating with search firms as needed.
- Support annual cycles and processes for Human Capital initiatives.
- Foster collaboration with EAs and other stakeholders across departments and geographies.
- Display discretion and sensitivity in handling confidential information and senior stakeholder communications.
- Demonstrate initiative, adaptability, prioritising tasks and shifting focus as plans and calendars change.
Qualifications
- 8-10+ years of Executive Assistant experience, ideally within recruitment, executive search, or professional/financial services organisations.
- Experience supporting multiple senior stakeholders and managing complex, high-volume schedules and programs.
- Advanced proficiency in Microsoft Office Suite and collaboration tools (Zoom, Teams, document-sharing platforms). Experience in ATS and candidate database platforms an advantage.
- Exceptional organisational, project management, and multitasking skills; able to manage priorities and adapt quickly in a dynamic environment.
- Strong communication, interpersonal, and stakeholder management skills: able to communicate with senior leaders, resolve disagreements diplomatically, and drive consensus.
- Discreet, professional, and comfortable with sensitive and confidential information.
- Self-starter with a curious, collaborative, and solutions-based mindset who is motivated to grow and demonstrate initiative.
