Where Operational Excellence Meets Creative Leadership

Virality doesn't happen on a schedule. It happens when the right ideas meet the right opportunities at exactly the right moment.

As Executive Assistant to the Head of Virality, your job is to create the operational clarity that allows one of the company's most creative leaders to stay focused on spotting trends, developing breakthrough ideas, and leading high-impact creative work.

Your success isn't measured by how many meetings you schedule. It's measured by how effectively you protect your executive's attention, remove operational friction, and create the space for creative thinking and fast decision-making. You'll anticipate needs before they arise, navigate shifting priorities with confidence, and ensure the executive can spend more time driving the business and less time managing logistics.

You become a trusted extension of the executive, making thoughtful decisions, managing complexity, and helping maintain momentum across a fast-moving creative organization.

The Role

Supporting the Head of Virality means operating at the intersection of creative strategy, operations, and executive partnership. Every day is different. Priorities change quickly. New opportunities emerge without warning.

You'll manage complex scheduling, travel, communications, meeting preparation, and cross-functional coordination while helping ensure important ideas, commitments, and projects continue moving forward. You'll work closely with leaders across Creative, Production, Marketing, Partnerships, and Operations to keep communication flowing and priorities aligned. Some domestic and occasional international travel will be required to support the Head of Virality during key meetings, events, and business initiatives.

The best person for this role is highly organized, exercises exceptional judgment, and thrives in environments where adaptability matters as much as planning.

What Success Looks Like

  • The Head of Virality spends more time creating, leading, and making high-impact decisions, and less time managing logistics.
  • Calendars reflect strategic priorities while remaining flexible enough to respond to emerging opportunities.
  • Meetings result in clear decisions, documented actions, and consistent follow-through.
  • Cross-functional partners know they can rely on you for clear communication, organization, and responsiveness.
  • Potential conflicts, scheduling challenges, and operational issues are identified and resolved before they disrupt momentum.
  • Sensitive information, executive communications, and business priorities are handled with professionalism and sound judgment.

What You'll Do

  • Design and manage a dynamic executive calendar that balances strategic planning, creative work, leadership meetings, travel, and protected focus time.
  • Serve as the primary point of contact for internal and external stakeholders, ensuring requests are appropriately prioritized and routed.
  • Coordinate domestic and international travel, executive meetings, and events with exceptional attention to detail.
  • Prepare agendas, briefing materials, and meeting logistics that allow the executive to make informed decisions quickly.
  • Capture action items, monitor commitments, and partner with stakeholders to ensure priorities continue moving after meetings conclude.
  • Anticipate scheduling conflicts, operational risks, and changing priorities before they impact execution.
  • Handle confidential information with discretion and professionalism.
  • Support special projects and operational initiatives that enable the Head of Virality and broader leadership team.
  • Travel as needed to support the Head of Virality during key meetings, productions, offsites, and business events.

What You'll Bring

  • 4-6 years supporting senior executives in fast-paced, high-growth environments.
  • Experience managing highly dynamic calendars involving frequent priority shifts.
  • Exceptional organizational skills and the ability to anticipate needs before they become requests.
  • Strong written and verbal communication skills with the confidence to represent executive leadership professionally.
  • Excellent judgment, discretion, and the ability to make thoughtful decisions independently.
  • Comfort operating in environments where priorities evolve quickly and adaptability is essential.
  • Ability and willingness to travel as business needs require.

Preferred Experience

  • Supporting C-level or executive leadership.
  • Experience supporting creative, marketing, media, or content organizations.
  • Experience in a high-growth company.
  • Strong proficiency with modern productivity, collaboration, and expense management tools.

Target total compensation ranges from $115,500 - $170,500, including a fixed annual salary of $105,000 - $155,000, a discretionary annual cash bonus, plus an employee equity grant, and comprehensive benefits.

As a government contractor subject to the Vietnam Era Veterans Readjustment Assistance Act (VEVRAA), we request this information in order to measure the effectiveness of the outreach and positive recruitment efforts we undertake pursuant to VEVRAA. Classification of protected categories is as follows:

Voluntary Self-Identification of Disability

Form CC-305
OMB Control Number 1250-0005
Expires 04/30/2026

Why are you being asked to complete this form?

We are a federal contractor or subcontractor. The law requires us to provide equal employment opportunity to qualified people with disabilities. We have a goal of having at least 7% of our workers as people with disabilities. The law says we must measure our progress towards this goal. To do this, we must ask applicants and employees if they have a disability or have ever had one. People can become disabled, so we need to ask this question at least every five years.

Completing this form is voluntary, and we hope that you will choose to do so. Your answer is confidential. No one who makes hiring decisions will see it. Your decision to complete the form and your answer will not harm you in any way. If you want to learn more about the law or this form, visit the U.S. Department of Labor’s Office of Federal Contract Compliance Programs (OFCCP) website at www.dol.gov/ofccp.
