Executive Assistant (f/m/d)
About the Job
We're looking for a highly experienced and organized Executive Assistant (f/m/d) to support our C-Team. The ideal candidate will serve as a critical link in the Team, manage their calendars, handle investor communications, and assist with strategic documentation and board meeting preparation.
This role is essential for ensuring the smooth operation of executive functions, including managing contracts and coordinating travel. You will be at the heart of our fast-paced environment, helping to keep everything running smoothly.
In this role, you’ll:
- Manage calendars, including scheduling and prioritizing meetings and events.
- Organize and coordinate C-Team travel, and ensuring all logistics are handled smoothly.
- Organize executive meetings, and ensuring all the necessary material are prepared in advance.
- Support the C-Team in day-to-day operations by prioritizing and managing tasks effectively.
- Support in documenting company progress and milestones for board meetings.
- Collaborate with Accounting and Office Management on managing NDAs, bills, contract renewals, and maintaining an organized system for all documentation.
Your Profile
- Proven experience as an Executive Assistant, preferably supporting the C-Team in a fast-paced or high-growth environment such as technology, semiconductor, or a similar industry.
- Experience working with managing and prioritizing complex calendars, with the ability to adapt to shifting priorities and manage last-minute changes with ease.
- Excellent written and verbal communication skills, with the ability to draft, proofread, and refine high-level documents and correspondence. (English & German required)
- Ability to manage relationships with investors, board members, and other high-level stakeholders in a professional manner.
- Ability to manage sensitive and confidential information with integrity.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant office software.
Please note that we are looking for support in the Aachen office of our portfolio company. Eligibility to work within the EU is required as well.
