Position overview:
As the Office Coordinator for Sagard's New York office, you will be a key member of the People & Culture Team, critical to fostering a positive and efficient workplace experience. You will manage daily office operations, provide exceptional guest services, and coordinate meetings and events. This role requires a proactive individual who can manage a variety of responsibilities and contribute to Sagard's culture. Standard office hours are 8 AM - 5 PM EST, with occasional flexibility required.
Your Responsibilities:
- Welcome visitors, manage security registration, handle calls and voicemails, distribute mail (physical and digital), and maintain general office tidiness (opening/closing procedures).
- Manage company-wide communications, such as announcements and invitations
- Coordinate conference room bookings and maintain the office calendar.
- Monitor and restock office/kitchen supplies, manage vendor relationships and documentation (e.g., Certificates of Insurance), and liaise with building management and delivery services.
- Oversee shipping/receiving logistics (labels, packaging, offsite materials) and manage the inventory and distribution of branded merchandise for U.S. new hires.
- Support the onboarding process for New York-based hires, including workspace setup, office tours, and supply provision.
- Track office expenses using the Concur system and provide general clerical assistance (printing, binding).
- Coordinate logistics for in-office events, company meetings, and visits for teams, clients, and employees, collaborating with relevant stakeholders.
- Manage the full lifecycle of internal social events, from planning and communication to execution and vendor coordination. Provide logistical support to the People & Culture team for events, team-building, and the onboarding/offboarding process (IT and office property).
- Assist with basic IT setup for new hires, troubleshoot minor technical issues, and support ad hoc projects, including office moves and special events.
- Perform other duties and special projects as assigned.
Experience & Qualifications:
- A minimum of 3 years of work experience in a similar position
- A professional demeanor including business casual attire.
- Familiarity with Workplace Health and Safety Legislation
- Prior experience in office moves (asset)
