Executive Assistant
ReconCraft is seeking an Executive Administrative Assistant responsible for providing a comprehensive level of administrative support to RECONCRAFT leadership. This role requires exceptional organizational skills, discretion, and professionalism to effectively manage confidential information and coordinate various activities and communications on behalf of the leadership team. This role is pivotal in managing important administrative tasks, facilitating effective communications, and ensuring the efficiency of high-level activities. This position reports to the Executive Vice President, and is in Clackamas, OR. This is an in-person position; it is not remote.
Responsibilities (include but are not limited to):
- Scheduling and Calendar Management:
- Efficiently manage the leadership team’s calendar, including appointments, meetings, and travel arrangements.
- Communication and Correspondence:
- Review, prioritize, and respond to phone and email correspondence as required.
- Answer phone calls, Instant Message, or text inquiries, and relay messages promptly. Maintain company social media presence as directed by executive team.
- Collaborate with other executives and departments to achieve organizational goals.
- Communicate with U.S. and foreign government clients via the phone, email, written communications, and in person.
- Document Management:
- Organize and maintain records, documents, and files related to the leadership team and special programs.
- Prepare, edit, and distribute correspondence, reports, and presentations and other documentation as required.
- Meeting Support:
- Attend meetings, record minutes, and accurately document discussions and decisions.
- Facilitate meetings and other events by coordinating venue logistics, materials, attendance, technology, meals, etc.
- Provide general support to visitors.
- Expense processing:
- Prepare, review, and submit expense reports for the leadership team.
- Special Projects and Research:
- Assist with special projects, research, and strategic initiatives as directed by the leadership team.
- Prepare Word, Excel, agendas, reports, special projects, and other documents in support of company objectives.
- Prepare PowerPoint presentations, printed handouts, and other collateral as required.
- Other tasks/responsibilities as required.
- Supervisory Support
- Supervise the Office Manager in day-to-day duties and administrative support.
- Develop administrative staff by providing information, educational opportunities, and experiential growth opportunities.
Essential Job Requirements:
- Education:
- Bachelor's degree in Business Administration, Communications, or related field preferred.
- Experience/Skills:
- 7+ years as an Executive Assistant supporting C-level Executives or Board of Directors.
- Ability to thrive in dynamic, fast-paced settings and handle shifting priorities.
- High level of confidentiality and professionalism in handling sensitive information.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Proficient with office software and tools (e.g., Microsoft Office, PowerPoint, Microsoft Teams, and Costpoint (preferred)).
- Ability to be available full-time with flexible hours.
- Overnight travel may be required.
