Administrative Assistant
Copper River Technologies is seeking a highly organized and detail-oriented Administrative Assistant to provide executive-level support within the HQ CI Directorate. This role primarily serves as a management assistant to a Senior Executive Service (SES) member and offers secondary support to the deputy director and office staff. The HQ CI Directorate provides leadership and direction for NAVFAC’s CI programs and interacts with senior Navy, Department of Defense (DoD) leadership, and Congressional staff.
This position is on-site in Newport, RI.
Key Responsibilities:
Executive Support:
- Manage and maintain the Chief Engineer’s daily calendar, including scheduling and following up on meetings.
- Screen and respond to telephone calls and visitors from SES members, senior Navy and DoD leadership.
- Print and compile briefing documents, arrange transportation as needed, and coordinate meeting logistics.
- Perform standard clerical tasks such as typing, photocopying, filing, and distributing correspondence.
- Ensure timely handling of all incoming and outgoing correspondence.
Tasker System Management:
- Track and coordinate tasker system packages received by CHE/CI.
- Follow up on due dates and ensure taskers are completed on time.
- Send reminders to managers and upload responses into the tasker system.
Office Supplies & Maintenance:
- Oversee office supply procurement, printing, and maintenance requests.
- Ensure all printer issues are resolved in accordance with CIO instructions.
- Review OSR forms with a senior program analyst for proper fiscal year resource allocation.
Document Preparation & Correspondence:
- Draft and format memorandums, reports, forms, and spreadsheets with attention to detail and accuracy.
- Proofread documents for grammatical and spelling errors.
- Prepare and manage routine correspondence.
Management Information Systems (MIS):
- Input and manage data using Word, Excel, and PowerPoint.
- Maintain the correspondence log in TRIMS (Total Records Information Management System).
- Update office calendars, recall/contact lists, and leave requests in MS Outlook.
Office Management:
- Support onboarding and offboarding processes for employees.
- Assist with minor property inventory control and IT hardware/software requests.
- Maintain internal office records, reports, filing systems, and annual training requirement lists.
- Review outgoing correspondence for accuracy and clearance.
Professional Registration Board Management:
- Maintain and update the Command Professional Registration Board.
- Order and manage brass nameplates quarterly.
- Coordinate with other Command Admin Assistants to ensure up-to-date records.
Travel Coordination:
- Assist CI/CHE staff with travel arrangements using the Defense Travel System (DTS).
- Ensure timely processing of travel vouchers and reimbursements within five days of travel.
- Maintain a log of CI/CHE travel costs.
Other Duties:
- Perform additional administrative tasks as assigned to support office operations.
Qualifications:
- Proven experience as an administrative assistant, executive assistant, or similar role.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
- Familiarity with government or military administrative environments is a plus.
