Consultant - Administrative/Operations Analyst
Job Description:
We are seeking an Administrative Assistant/Operations Analyst to provide critical support to the Product Manager (PdM), Deputy Product Manager (Deputy PdM), and Product Leads in executing administrative and operational functions. This role involves managing office automation tasks, coordinating logistics, and ensuring seamless task and meeting management in alignment with DoD standards and policies. The position requires proficiency in handling complex workflows, preparing high-quality documentation, and supporting enterprise planning and sustainment operations.
Responsibilities:
- Office Automation Services:
- Provide administrative support using Windows-based software programs, including Microsoft Word, PowerPoint, Excel, and Visio.
- Ensure contractor personnel maintain proficiency in Microsoft Office Suite for all tasks, processing data in various formats from handwritten drafts to electronic submissions.
- Graphics and Presentation Support:
- Develop and manage briefing slides, metric charts, project schedules, and organizational charts.
- Design, revise, and produce PdM Biometrics briefs and presentations in compliance with contract deliverables (CDRL A004).
- Task/Action Item Management:
- Implement and maintain a system to track and manage recurring activities/events, including the Army Task Management Tool (TMT).
- Handle taskers from HQDA, tracking 25-30 actions weekly and ensuring timely follow-up to closure.
- Meeting Management:
- Coordinate conference rooms, develop and distribute agendas, and establish teleconference connections.
- Record and disseminate meeting minutes (CDRL A006), ensuring all action items are tracked and completed.
- General Administrative Support:
- Schedule appointments, maintain calendars, and manage logistical sustainment program operations.
- Prepare weekly staff call slides, compile leadership briefings, and coordinate review packages with external entities, including PM TS, PEO, or ASA (ALT).
Required Skills:
- Strong organizational skills with experience working in a military office setting, especially Army staff offices.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Visio).
- Experience in graphics design and preparation for presentations.
- Familiarity with task tracking systems such as TMT or equivalent tools.
- Strong organizational, multitasking, and communication skills.
Nice to Have Skills:
- Familiarity with military or government tasking procedures.
- Experience preparing and coordinating high-level briefs and materials.
- Experience supporting DoD or military operations.
- Familiarity with SACO processes and action tracking.
Education and Experience:
- High School Diploma
- Five (5) years of experience in performing clerical/ administrative duties
