Event and Sponsorship Manager APAC - Assistant Vice President

About the Role

We are seeking an experienced AVP, Event & Sponsorship Manager, APAC based in Hong Kong to join the International Marketing team, reporting to the International Events and Sponsorships Lead with a dotted-line reporting relationship into the New York-based Global Events Team.This role will be responsible for planning, managing, and executing a diverse portfolio of events across the Asia-Pacific region. The position is split approximately 70% supporting iCapital's APAC event portfolio and regional sponsorship strategy and 30% supporting iCapital's distribution partnership with a leading global wealth management partner across APAC.

On the iCapital side, the successful candidate will lead proprietary events, client programs, sponsorship activations, and third-party conferences that support iCapital's regional business objectives.

On the partner side, the individual will be responsible for full-cycle event management supporting a strategic wealth management partner's advisor-facing event program across APAC, including conferences, educational roadshows, webinars, workshops, and sponsorship activations.

The successful candidate will work closely with Sales, Marketing, Alternative Investment Specialists, General Partners, partner stakeholders, and executive leadership to deliver best-in-class event experiences that strengthen relationships, drive engagement, and support business growth.

This individual will report directly to the Events and Sponsorships Lead, International and maintain a dotted-line reporting relationship to the New York-based Event Manager responsible for overseeing the partner's global event program, ensuring alignment with global standards, processes, and best practices.

 

Key Responsibilities

iCapital APAC Events and Sponsorships (Approximately 70%)

  • Lead the planning, coordination, and execution of iCapital proprietary events across APAC, including conferences, seminars, client events, roundtables, roadshows, receptions, webinars, and corporate meetings.
  • Manage regional third-party sponsorships and associated activations that support iCapital's business objectives.
  • Collaborate with Marketing, Sales, Alternative Investment Specialists, Product, and executive leadership teams to develop event strategies and objectives.
  • Manage event budgets, negotiate vendor contracts, and identify cost-effective solutions.
  • Oversee all event logistics, including venue selection, registration management, catering, transportation, accommodation, audiovisual production, event materials, and onsite execution.
  • Develop and maintain relationships with key sponsors, vendors, venues, agencies, and industry partners.
  • Support event marketing and promotional activities in partnership with regional marketing teams.
  • Monitor, evaluate, and report on event performance, attendee engagement, and ROI.
  • Ensure compliance with all relevant company policies, regulations, and industry standards.

Strategic Wealth Management Partner Program (Approximately 30%)

  • Lead the end-to-end planning and execution of conferences, educational roadshows, webinars, workshops, and sponsorship activations supporting iCapital's distribution partnership with a leading global wealth management partner across APAC.
  • Manage all aspects of event logistics, including venue sourcing, contract negotiations, registration management, attendee communications, catering, audiovisual production, transportation, event materials, and onsite operations.
  • Develop and maintain detailed project plans, timelines, budgets, and event calendars to ensure flawless execution and accountability.
  • Coordinate speaker logistics, presentation collection, rehearsals, and onsite support to deliver a seamless event experience.
  • Support both in-person and virtual events while maintaining a consistent and high-quality attendee experience.
  • Partner closely with Alternative Investment Specialists, Sales, Marketing, General Partners, and partner stakeholders to deliver impactful advisor-facing educational programs.
  • Serve as the primary liaison between iCapital, partner stakeholders, asset managers, agencies, vendors, and venues.
  • Support the development of educational agendas and event experiences that align with business objectives and audience needs.
  • Track event performance, attendee engagement, and program effectiveness.
  • Deliver post-event reporting and recommendations to enhance future programs.
  • Collaborate closely with the New York-based Event Manager overseeing the partner's global event program to ensure consistency across regions and alignment with global initiatives.

General Responsibilities

  • Utilize Cvent, Monday.com, and other event technology platforms to manage registration, communications, project tracking, and reporting.
  • Manage vendor onboarding, invoice processing, contract approvals, and event reconciliation.
  • Build scalable processes, playbooks, and best practices to improve efficiency and consistency.
  • Build strong relationships across internal and external stakeholder groups globally.
  • Identify opportunities to enhance attendee experience and improve operational excellence.
  • Monitor event success against established goals, budgets, and stakeholder expectations.
  • Travel throughout APAC and internationally as required.

 

Qualifications

  • Bachelor's degree in Marketing, Business Administration, Communications, Hospitality Management, or a related field.
  • 7-10 years of event management experience, preferably within financial services, wealth management, asset management, fintech, or related industries.
  • Proven experience managing conferences, client events, sponsorships, roadshows, and executive-level programs.
  • Strong project management skills with the ability to manage multiple priorities, stakeholders, time zones, and deadlines simultaneously.
  • Experience managing budgets, vendor relationships, agencies, and contract negotiations.
  • Strong understanding of event technologies, including Cvent, Monday.com, and Microsoft Office.
  • Exceptional communication and stakeholder management skills.
  • Experience working within global organizations and across multiple regions.
  • Strong analytical and problem-solving abilities.
  • Knowledge of alternative investments, wealth management, or asset management is preferred.
  • Cultural awareness and experience working across diverse APAC markets.
  • Fluency in English; additional Asian languages are a plus.
  • Willingness to travel across APAC and internationally.
