Senior Associate, Hospitality Program Management:
The Games Delivery Revenue team oversees the Ticketing, Hospitality, Accommodations and Food & Beverage departments. This department is responsible for securing key revenue streams for LA28, ensuring sold out and fully attended events, creating a robust and integrated accommodations strategy that supports our key stakeholders and operational needs, and delivering a comprehensive food and beverage plan for fans, stakeholders, the world’s press and broadcasters, workforce, and athletes.
The LA28 Commercial Hospitality team is dedicated to redefining the Olympic and Paralympic hospitality experience by delivering premium, revenue-generating packages for key stakeholders and fans. In partnership with On Location, LA28’s Official Hospitality Provider, the team is responsible for integrating a commercial hospitality strategy that maximizes asset value and ensures revenue optimization.
Reporting to the Head of Hospitality, the Senior Associate, Hospitality Program Management will manage multiple, often interconnected, projects and workstreams to help drive the goal of making the LA28 commercial hospitality program as successful as possible. They will coordinate activities between multiple workstreams, ensuring the proper planning, execution and tracking of all programs while identifying interdependencies and/or any gaps, while proactively driving issue resolution where/when necessary. This individual will also serve as the primary point of contact for the hospitality functional area as it relates to tracking milestones, facilitating onboarding, and supporting the organization of key elements of the Olympic & Paralympic hospitality program.
Additionally, this position will collaborate with key hospitality functional leaders to set department & cross-functional meetings, as well as aggregate information from IOC, IPC, partners, and other external stakeholders
Key Responsibilities:
Program Management
- Ensure all projects and workstreams are aligned with the Hospitality business plan and overall Hospitality strategy
- Collaborate with the On Location PNC Team to create process to inform of any changes or delays on deliverables On Location is assigned are flagged for leadership
- Create and maintain project plans (utilizing project management tools such as Smartsheet, etc.), including timelines, resources, etc.
- Work closely with functional area leaders within Hospitality & across the organization to understand program goals, requirements, and deliverables
- Track project / workstream progress and provide regular updates to key stakeholders
- Develop / structure a weekly progress report to provide weekly updates on key workstreams to Hospitality leadership
- Support onboarding process for new hires (both internal and external) including but not limited to ensuring all proper systems access is approved and shared, etc.
- Manage multiple projects simultaneously, prioritizing tasks and maintaining a high level of organization to meet deadlines and expectations
- Assist in the Master Milestone tracking of the overall program management and ensure proper coordination and communication to have the HSP Program stay on time and hit all deliverables
- Handle administrative and PMO/PNC responsibilities, including preparing project documentation, reports, and presentations, and ensuring compliance with internal processes and governance standards
Strategic Planning & Coordination
- Participate in planning and strategy meetings, offering insights and suggestions to enhance project efficiency and effectiveness
- Ensure all program activities adhere to organizational standards and best practices, maintaining a consistent approach across all projects
- Gather and incorporate feedback from team members and stakeholders, ensuring that project adjustments align with overall objectives
- Establish close working relationships with key functional areas to ensure the Hospitality strategy maximizes revenue opportunities, minimizes costs, and works effectively within operational constraints
- Manage the risks and issues that might arise throughout the program life cycle and take measures to correct them when they occur
Operational & Tracking
- Identify ways to define the processes, procedures, reporting, etc., to manage the program
- Lead proactive coordination with all Hospitality Folder Management as well as controlling access in Smartsheet and with shared On Location shared spaces, proactively assisting the team in organization and optimization of these folders and file management
- Assist in tracking larger HSP team projects from a documentation standpoint for the team, projects such as FASP, EOP Timelines, Financial Reporting timelines, Stakeholder Guides, Product Guides, etc.
- Proactively share agendas and notes/key takeaways with the broader team for discussion, adds, edits, and feedback to align the HSP team and prepare everyone for upcoming meetings.
- Assist with coordination and planning of all larger cross-functional triparte meetings, including but not limited to SUM, QBRs, etc..
- Assist with any assigned special projects and/or key deliverables from the team as needed
Background & Qualifications
Position Requirements:
- Minimum 4 years of relevant industry experience, preferably with experience in the sport or live event industry
- Fluent working with Office suite products including Microsoft Excel and PowerPoint
- Proficient in using Airtable to manage workflows, track project progress, and organize data effectively
- Extremely detail-oriented with excellent organizational and project management skills
- Strong communication, team building, and interpersonal skills
- Well-developed problem-solving skills and ability to work independently to resolve issues
- Ability to work effectively to tight deadlines
- Experience working with a diverse range of stakeholders and proven success at building excellent working relationships
- Demonstrated commitment to co-creation and collaborative decision-making
- Self-starter with experience in defining tasks, seeking feedback, and evolving work where applicable
Physical Requirements and Working Conditions
- Ability to work on-site in an office environment, based in Los Angeles, CA
- The majority of work will be conducted in an office setting, requiring extended periods of time using computers, phones, and other office equipment
Education:
- Bachelor’s degree preferred

The annual base salary range for this position is $75,000.00-90,000.00. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28’s operational business needs and applicable law.
