Job Summary
This role supports the Chief of Staff in driving organizational success by coordinating executive scheduling, aligning cross-functional teams, and ensuring seamless communication between senior leadership and internal/external stakeholders. It includes planning and executing high-level meetings, events, and conferences, while serving as a liaison with industry, academic, and government partners. The position emphasizes fostering a positive work environment through employee engagement initiatives and recognition programs. Additionally, it involves coordinating administrative support, overseeing process improvements, and managing special projects to enhance operational efficiency. A “can do” attitude, strong leadership, project management, and multitasking skills are essential for success.

Responsibilities

  • Leadership Support, Organizational Alignment, and Communication:
    • Assist the Chief of Staff in achieving company objectives through team organization, initiative execution, and business acumen development
    • Support the Chief of Staff in management of the CEO’s schedule by prioritizing commitments, coordinating meetings, and ensuring alignment with organizational objectives
    • Serve as a liaison between Boeing Space and Mission Systems (SMS), Millennium, and other Boeing organizations to ensure alignment with business objectives
    • Facilitate communications and actions among senior leadership, program leadership, and other Boeing entities, ensuring compliance and organizational alignment
  • External Liaison and Meeting, Event, Visit Facilitation:
    • Lead the design, logistics, cross-functional coordination (e.g. facilities, security, marketing, communications), and facilitation of internal leadership meetings and events/visits for external high-level customer, industry and academic partners, and domestic launch events
    • Generate high-level briefings, executive presentations, and consolidated reporting
    • Research and evaluate venues based on customer requirements, ensuring protocol & security considerations are integrated
    • Partner with Marketing & Communications to plan and execute conferences, including agenda development, speaker coordination, venue selection, and logistical management to ensure seamless events that align with organizational goals
    • Serve as a liaison between external customers and industry/academic partners
  • Employee Engagement & Recognition
    • Lead and implement employee engagement initiatives to foster a positive work environment, enhance team cohesion, and promote organizational culture
    • Coordinate cross-functional teams (e.g. office management, facilities, learning & development, communications) to execute engagement activities
    • Develop and manage recognition programs to celebrate individual and team achievements, foster motivation, and reinforce organizational values
  • Executive and Administrative Coordination:
    • Coordinate Executive Assistants and Administrators in planning and logistics for management-level meetings, events, and conference room scheduling
  • Continuous Improvement and Reporting:
    • Collect and disseminate information to stakeholders, integrate feedback for process improvements, and track project execution and status
  • Additional Responsibilities:
    • Work on special assignments and projects as directed by the Chief of Staff
  • Travel occasionally domestically and internationally.

Minimum Qualifications

  • This position requires an active U.S. Security Clearance (U.S. Citizenship Required). (A U.S. Security Clearance that has been active in the past 24 months is considered active)  

  • 10 years of experience planning, organizing, facilitating and/or executing large scale meetings and events
  • 2-4 years of experience providing support to a senior leadership in a fast-paced environment 
  • Experience with managing multiple projects concurrently and competing priorities in a fast-paced environment 
  • Computer literacy and proficiency in Microsoft Office, SharePoint
  • Experience with travel, expense, and AV applications
  • Adept calendar management skills 
  • Very strong accuracy and attention to detail
  • Excellent time management skills
  • Ability to transport self between local work sites
  • Self-starter with strong ability to collaborate in a team environment and also work autonomously

Preferred Qualifications

  • More than 5 years’ experience developing and maintaining relationships and partnerships with senior management, customers, stakeholders, peers and partners
  • Certified Meeting Professional, Certified Government Meeting Professional, or other event marketing industry certification
  • Experience developing and managing event related technology including registration systems, event management systems, event apps, etc.
  • Experience with working with international customers
  • Familiarity with Microsoft Team, Atlassian JIRA and Confluence

Summary Pay-Range
Please note that the salary information shown below is a general guideline only of what is reasonably expected to be paid for the position. Salaries are based upon candidate experience and qualifications, as well as market and business considerations.

  • Level 4: $106,250-$156,250
