Office Assistant, Senior Associate (Temporary)

We are seeking a highly organized and proactive Office Assistant, Senior Associate to provide comprehensive administrative and office support. This role will focus on managing corporate calendars, coordinating travel, ensuring OHSA compliance, and overseeing office operations to support the smooth day-to-day running of the workplace.
This is a temporary position offered on a fixed-term basis. The contract length is open-ended and may be extended depending on business needs.
Responsibilities will include:
- Act as the primary point of contact for administrative matters, supporting internal and external stakeholders in a professional and hospitable manner.
- Manage and coordinate corporate calendars, ensuring efficient scheduling of meetings, events, and commitments for senior leadership.
- Coordinate complex travel arrangements, including booking flights, hotels, and transfers, while maintaining accurate records and reports.
- Support the management of corporate travel benefits and liaise with service providers for competitive packages.
- Oversee scheduling and logistics for meetings, training sessions, and internal events to ensure seamless execution.
- Support property and facilities administration, including lease renewals, occupancy coordination, and office upkeep.
- Monitor sick leave records through the time-and-attendance system.
- Ensure compliance with Occupational Health and Safety requirements, including coordinating Fire Marshal and First Aid training, maintaining first aid supplies, and supporting risk assessments.
- Coordinate company events and CSR activities.
- Manage incoming correspondence, including logging of legal contracts and sensitive documents.
- Oversee procurement of office supplies and equipment, ensuring stock levels are maintained.
- Liaise with contractors and service providers to support office projects and maintenance.
- Contribute to the company’s Business Continuity Plan activities.
- Perform additional administrative tasks as required by senior leadership.
The ideal candidate will bring:
- Minimum of 3 years’ experience in a senior administrative or similar role.
- Strong organizational skills with the ability to prioritize and manage multiple tasks effectively.
- Service-oriented with a professional and positive “can-do” attitude.
- Excellent written and verbal communication skills in English, with proficiency in Microsoft Office applications.
- High attention to detail and accuracy.
- Ability to work independently while being a strong team player.
Compensation:

Salary ranges are developed based on objective, gender-neutral criteria, such as internal job levels, scope of responsibilities, and external market data. The range listed for this position reflects the expected hiring range for qualified candidates and corresponds to the level and requirements of the role.
Actual compensation may vary depending on various factors, such as experience, skills, qualifications, work location, and market conditions. Shift4’s compensation structures are subject to periodic review and ongoing alignment across regions. Additional components such as variable remuneration or other benefits may also apply based on eligibility and role type.
Salary Range: € 33,000 - € 38,000
