As the Specialist, Creative Operations:
What you'll do:
- Provide operational support for the internal creative + content teams; examples include (but are not limited to) agreements for photoshoots and content shoots, processing and tracking invoices, vendor maintenance, etc
- Assist with the in-house production of artist photo and content shoots. Coordinate all vendors, schedules, fees and payments, artist budgets and agreements.
- Facilitate payments, schedules. and contracts related to each project.
- Route deal memos and review contracts with BA to ensure proper policies and procedures are in place prior to all photo + content shoots
- Liaise between marketing and release planning to ensure timely delivery of single and album artwork across the Columbia roster
- License artwork for all commercial use, and be the key point of contact for all external photographers and designers to discuss terms, fees, and deliverables for approval for the entire Columbia records label roster
Who you are:
- Experience:
- 2–4 years of relevant operational and/or production coordination experience in the music, entertainment, or creative industries
- Familiarity with content and photo shoot production processes, especially in a label or creative agency environment
- Skills & Knowledge:
- Strong organizational skills with the ability to manage multiple projects, deadlines, and vendors simultaneously
- Proficient in processing contracts, invoices, and production paperwork with a high degree of accuracy
- Knowledge of licensing, rights, and usage terms for photography and design in a commercial context
- Solid understanding of creative workflows, especially in relation to marketing, artwork delivery, and release planning
- Communication:
- Excellent interpersonal and written communication skills; able to liaise effectively between internal departments and external creatives
- Technical Proficiency:
- Comfortable with standard business software (ie Excel, Google Workspace) and project management tools (ie Monday)
- Personal Attributes:
- Detail-oriented, proactive, and resourceful
- Passion for music and visual storytelling
- Ability to thrive in a fast-paced, deadline-driven environment with shifting priorities

New York Pay Range
$65,000 - $75,000 USD
