Job description

The Events Support Coordinator in Merida, Mexico is responsible for providing operational support for WorldStrides events including online and in-person administrative and logistics support for a variety of US based and international educational and performance events across WorldStrides and the Envision by WorldStrides businesses.
The Events Support Team ensures that assigned counterparts have the resources and materials necessary to implement successful events and coordinates with leadership to order supplies, review travel manifests, create checklists, and support in person events.

Responsibilities

  • Collect and effectively communicate information to and from assigned counterparts and vendors, including verifying schedules and summarizing parent feedback.
  • Monitor and adhere to operations deadlines from assigned counterparts.
  • Work with Academic stakeholders to review curriculum materials.

  • Learn and use internal database and enrollment systems to update and manage student data.
  • Create event materials using mail merge.
  • Order printed event materials ensuring timely arrival.
  • Compile student travel information and check for accuracy in order to create student arrival manifests.
  • Compile feedback from field teams and monitor vendor service levels.
  • Represent WorldStrides in a professional manner to internal and external audiences via email, phone, and in person interactions.
  • Respond to customer requests for housing accommodations.
  • Fulfill requests from customers for program photos and certificates.
  • Support booking of staff travel.
  • File and maintain all project documents on SharePoint.
  • Develop and maintain complex spreadsheets and databases.
  • Design and implement automated processes for data entry, analysis, and reporting.
  • Develop and maintain relationships with key stakeholders.
  • Create and present progress and performance reports to management.
  • Be available for select weekend on-call hours to assist educational program teams in the field via phone and email, depending on business needs.
  • Lead and manage small to medium projects independently and as assigned.
  • Effectively manage and execute projects with minimal supervision, strong self-direction and time management skills.
  • Proactively manage workload, planning and organizing tasks effectively to ensure timely completion.
  • Assist in training internal users.

Qualifications

  • Strong project management skills and strict attention to detail.
  • College Upperclassman (3+ years college experience and/or bachelor’s degree preferred).
  • Strong written and verbal communication skills; Fluent in spoken and written English.
  • Advanced skill with Microsoft Office Suite, including email. Position requires extensive use of Excel.
  • Organized and detail oriented with ability to prioritize and work on multiple projects simultaneously.
  • Events Planning Experience.
  • Experience in an office setting (preferred).
  • Customer service experience (preferred).
  • Pass a mandatory criminal background check.
  • Previous work experience with large/enterprise companies and comfortable talking with stakeholders at all levels within an organization.
  • Able to manage small and medium size projects with advanced organizational skills and attention to detail.
  • Experience implementing Microsoft Dynamics CRM, and/or other CRM applications.
  • Ability to work independently with minimal direction while also contributing as part of a team.
