The Executive Assistant to our Japan Country Manager plays a critically important role to support the Executive to work most effectively with Anaplan’s' customers and internal stakeholders. This role requires a highly resourceful individual with strong professionalism, presentation, self-motivation, verbal/written communication & analytical skills. Most of all we are looking for someone with a great attitude, high energy, and an extremely high work ethic.

What you’ll be doing wearing the EA hat:

  • Acts as a central point of coordination, managing schedules, communications and prioritizing tasks for the Executive
  • Serves as a link for communication between the Executive, Anaplan internal stakeholders and customers
  • Management of complex calendars and scheduling with diplomacy and discretion to ensure Executive makes optimal use of their time
  • Scheduling cost effective air/hotel/ground transportation. Create detailed travel itineraries and help Executive with expense claims
  • Coordinate closely with other cross-functional departments within Japan, Asia Pacific, and global community, including other senior executive's EAs within Anaplan
  • Project Management support to assist in planning and monitoring projects, as assigned by the Executive

Core Skills:

  • Able to multitask and manage competing priorities effectively under tight deadlines
  • Excellent written and verbal communication (English and Japanese); ability to support executive to prepare documents/presentations e.g., Townhall agenda, Executive visits
  • Minimum of 5 years of related business experience to a C-level executive, preferably in a SaaS organization
  • Expertise in office software (e.g., MS office) and familiarity with scheduling tools
  • Event planning, expense report, and calendar management experience
  • High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
  • Able to successfully navigate within varying degrees of ambiguity in a fast-paced environment
  • Ability to build strong, professional, cross-functional working relationships with internal & external stakeholders
  • Anticipates needs before they arise and demonstrates initiative in addressing them
