We are hiring an Executive Assistant to support our Marketing Leadership team. We're looking for someone who will succeed in the technical side of our business and help to cultivate connectivity across the department, driving efficiency, and bringing productivity to the next level.

 

We are looking for a passionate and highly driven individual to support the Marketing Leadership team. We are looking for an Executive Assistant to provide crucial support to our leadership team and drive the day-to-day operations of our business. In this role, you'll proactively manage administrative tasks, resolve operational challenges before they arise, and strategically support projects across the team. You will need to thrive in a fast-paced, dynamic environment, leveraging your excellent organizational skills, top-tier business judgment, and attention to detail to ensure smooth operations.

 

As an Executive Assistant, you’ll be a calendar wizard, expertly managing and coordinating complex schedules for the leadership team. You’ll also work closely with team members to prioritize and drive key initiatives forward. The ideal candidate is an eager learner with a collaborative mindset, passionate about supporting the leadership team, and capable of managing complex projects with impeccable communication and leadership skills. The successful candidate will be positive, dependable, and able to navigate ambiguity while helping drive strategic initiatives and team outcomes. WHAT YOU'LL DO 

  • Understanding of the priorities and objectives of your leader and their teams

  • Plan, coordinate, facilitate, and lead various meetings, functions, and events including retreats and team-building offsites

  • Act as gatekeeper, time-advocate, and liaison for Executives

  • Effectively handle multiple priorities for Executives’ time, applying strong decision-making skills in handling priority of requests, raising as necessary for resolution

  • Handle dynamic calendar and schedule

  • Lead team meetings, team calendars, and team Slack channels

  • Support cross-functional alignment within the Box organization

  • Act as a team point person: handle team requests, problem-solve, and assist with keeping the team on-track and organized

  • Help create and maintain communication within the team and broader org

  • Help drive recruitment and hiring in partnership with executive

  • Be a culture-contributor: oversee department culture initiatives, track, highlight, and celebrate important team cultural/career moments

  • Adapt to a fast-paced, constantly evolving environment

  • Manage travel arrangements and expenses, process expense reports and reimbursements, manage invoices, purchase orders, assist with All-Hands 

  • Create, organize, and maintain team mailing lists, folders, and drives. 

 

WHO YOU ARE

  • Strong verbal and written communication and interpersonal skills

  • Professional comfort with Google Calendar, Coupa, Workday, and Concur

  • Confident self-starter that can take a task and run with it with limited supervision from executive

  • Able to anticipate problems and/or needs of your executive and proactively offer solutions and make recommendations

  • High attention to detail and creative problem solver able to think outside the box

  • Able to maintain high levels of confidentiality

  • Excellent calendar management skills, including the coordination of complex meetings and designing scalable operating cadences

  • Availability to perform job duties outside of normal business hours, when necessary

  • Comfortable adapting to a fast pace working environment

  • Genuine passion for culture, events, and organizational engagement

  • Incredible discretion/confidentiality
