Job Overview
Jensen Hughes is looking for a skilled Vendor Management Specialist to join our team. We’re seeking someone who has experience to provide oversight and manage relationships with external vendors across multiple geographic locations, as well as ensuring compliance with company standards (both internally and externally). This position will work closely with business stakeholders and marketing teams to maintain our registrations with external vendors for proposal bid tenders, as well as effectively budget, plan and deliver events that elevate our brand and contribute to our company’s growth. Our Vendor Management Specialist, will handle the tactical execution of Vendor Registrations, 3rd Party Compliance sites, working with outside vendors on corporate and recruiting events, providing support for internal meetings, industry events and tradeshows, career fairs and more. The ideal candidate will have superior organizational and multitasking skills, strong interpersonal abilities and a creative mindset. The role will be at the forefront of delivering remarkable brand experiences, strengthening client and partner relationships, enhancing Jensen Hughes’ image, driving business growth and ensuring our events meet objectives and exceed expectations. Responsibilities
- Vendor sourcing and selection: Identifying, evaluating, and selecting new vendors based on quality, price, and business needs across different regions.
- Performance management: Establishing key performance indicators (KPIs) for vendors, regularly monitoring their performance against these metrics, and addressing any issues or concerns.
- Risk management: Ensuring compliance with regulatory requirements.
- Relationship building: Cultivating strong relationships with key vendor contacts across different countries to foster collaboration and address challenges effectively.
- Cost optimization: Identifying opportunities to reduce costs through vendor negotiations and exploring alternative sourcing options.
- Compliance oversight: Ensuring subcontractors adhere to company policies, ethical standards, and local regulations.
- Budgeting: Manage budgets and ensure we stay within financial constraints.
- Vendor management: Coordinate with event vendors, and program support/expansion as needed.
- Logistics: Organize logistics for shipping, venue selection, catering and other services as needed.
- Marketing: Support physical and digital marketing as needed.
- Brand compliance: Ensure corporate identity compliance.
- Strong interpersonal skills mandatory; must be able to work closely and effectively with stakeholders across all levels.
- Motivated to understand global cultures and markets, providing valuable insights and guidance to teams across Jensen Hughes' global network.
- Driven to develop a deep understanding of Jensen Hughes’ mission and business priorities.
- Utilize marketing platforms to plan, execute and monitor workload, including but not limited to Microsoft 365 Products (e.g., Teams, Egynte, Planner, Lists).
- Assist in the management of the company’s event fulfillment center(s).
Requirements and Qualifications
- Bachelor’s degree from a four-year college or university.
- 2+ years of experience in vendor management.
- Experience in event support a plus
- Experience in the AEC industry or related professional services is preferred.
- Strong project management and communication skills: Managing complex vendor relationships and ensuring timely completion of projects.
- Customer focused and skilled in acting as a liaison between internal clients and external vendors.
- Proficient in Microsoft Office (e.g., Word, Excel, PowerPoint, Yammer and virtual meeting platforms (e.g., MS Teams).
- Cross-cultural awareness: Recognizing and respecting cultural differences and communication styles to effectively manage vendors across various regions.
- Proficiency in vendor management tools: Familiarity and proficiency with third-party software platforms (such as Isnetworld and Avetta) involving multiple company clients to keep company information updated.
- Ability to meet tight-turn around deadlines for Vendor Registrations for Proposal Development
- Flexibility to work extended hours to accommodate global time zones as needed.
- Ability to travel up to 10%.
