Bilingual Project Support Specialist
Job Overview
The Project Support Coordinator plays a key role in supporting warehouse and logistics operations for client projects. This position serves as a bridge between internal teams, suppliers, and client contractors to ensure materials are ordered, shipped, tracked, and updated efficiently through the company’s customized management software.
The ideal candidate will have strong coordination and customer service skills, excellent English communication skills, and ideally Mandarin as well. This person should also have strong emotional intelligence and be able to handle different stakeholders and unexpected situations with professionalism, patience, and tact.
General Responsibilities
- Coordinate order processing, shipment tracking, and inventory updates using the materials management system
- Communicate with client suppliers and contractors to confirm order details, resolve issues, and provide timely updates
- Manage logistics schedules to support smooth material flow and on-time delivery
- Serve as the first point of contact for inquiries and respond with clarity, patience, and professionalism
- Anticipate potential issues, propose practical solutions, and maintain strong working relationships with stakeholders
- Support administrative documentation such as purchase orders, shipment records, and reports
Qualifications
- Bachelor’s degree or equivalent work experience
- Strong command of English, written and verbal
- Previous experience in customer service, account coordination, or project support roles
- Excellent interpersonal and communication skills with a high level of emotional intelligence
- Strong organizational and multitasking abilities with close attention to detail
- Service-oriented mindset and the ability to remain calm under pressure
Nice to Have
- Bilingual proficiency in Mandarin and English
- Experience in logistics, warehouse operations, or supplier coordination
- Familiarity with enterprise systems or materials management systems such as ERP
Must Have Skills
- Stakeholder communication and problem-solving
- Time management and task prioritization
- Microsoft Office proficiency, including Excel, Outlook, and Teams
- Patience, adaptability, and a team-first attitude
