Bilingual Executive Assistant (Japanese/English)

Location: San Mateo, CA (Hybrid work environment: 2-5 office days, flexibility required)

Please note, this is a 12-month temporary position, through our Staffing Partner, DZX.

The Bilingual Executive Assistant will report to the Vice President, Global Accounting & Treasury. This position also supports the Sr. Director(s) and their respective teams. The Assistant will act as a critical liaison between the US, EU, and the Japan office, providing executive administrative support while ensuring smooth communication and coordination across multiple time zones and cultures.

Responsibilities:

  • Executive Support: Provide comprehensive administrative support to the VP and Sr. Directors, managing complex calendars, scheduling meetings, arranging travel (domestic and international), and handling all aspects of event planning (meetings, off-sites, retreats, and conferences).
  • Communication & Coordination: Act as the main point of contact for internal and external stakeholders, expertly representing the Executives in all communications, including phone calls and initial meetings. Ensure a seamless flow of information and communication, managing email correspondence and liaising across departments globally.
  • Team & Event Coordination: Organize and facilitate team events and meetings in collaboration with Facilities, IT, and external stakeholders. Serve as a key contact for planning and executing large-scale global meetings and events.
  • Cultural Liaison: Manage interactions between US, Japan, and global teams, bridging cultural gaps and ensuring business practices align across regions. Handle translations (written and oral) as needed for internal communications and documentation.
  • Expense & Travel Management: Submit expense reports, arrange complex travel logistics for the executives, and ensure all travel accommodations and schedules align with global time zones and business priorities.
  • Confidentiality & Discretion: Handle highly sensitive information with the utmost confidentiality, exercising sound judgment in handling day-to-day tasks.

Qualifications:

  • Bilingual: Fluency in both Japanese and English (verbal and written) is required, with a strong understanding of Japanese business etiquette and culture.
  • Executive-Level Experience: 8+ years of experience supporting senior-level executives in fast-paced environments. Strong process orientation, attention to detail, and the ability to manage competing priorities are essential.
  • Global Experience: Demonstrated experience coordinating schedules across multiple time zones and working with teams from different cultural backgrounds.
  • Technology Proficiency: Strong skills in Microsoft Office Suite (Excel, PowerPoint, etc.) and experience with tools like Concur, SAP/SRM preferred.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to present information clearly and concisely.
  • Event Planning: Experience organizing events, meetings, and travel logistics, with a focus on creating impactful experiences for the team.
  • Adaptability: Able to work independently, adapt to changing priorities, and maintain a calm and professional demeanor in high-pressure situations.

  • Experience in the gaming or interactive entertainment industry.

Please note that the individual base pay range may vary based on job-related factors which may include knowledge, skills, experience, and location.

$40 - $60 USD
