Executive Assistant

Job Description
The Executive Assistant will provide high-level administrative support to the COO, helping streamline their workload, manage their schedule, and act as a critical point of coordination. This role requires exceptional organizational skills, the ability to anticipate needs, and a focus on ensuring seamless operations for the COO and their team.
What you will do:
- Manage the COO’s calendar, prioritize appointments, and coordinate internal and external meetings. Ensure they are well-prepared for each day with relevant documents and background information.
- Serve as the primary liaison between the COO and internal teams, clients, and external partners.
- Plan, organize and manage multiple calendars (resolve overlapping commitments and protect time for priorities).
- Assist in managing special projects, track progress, and follow up on action items with cross-functional teams. Maintain an organized approach to multi-tasking on several projects simultaneously.
- Gather and synthesize data for reports, presentations, meetings, and prepare high-quality summaries.
- Arrange travel logistics, including booking flights, accommodations, and creating comprehensive itineraries for both domestic and international travel.
What you will need to be successful:
- Minimum of 5 years in an executive assistant role supporting C-level executives, ideally in a tech or fast-paced environment.
- A Bachelor's Degree in Business, Communications, or a related field is preferred but not required.
- Exceptional written and verbal communication.
- Strong organizational skills and attention to detail.
- Proficient in MS Office Suite (Word, Excel, PowerPoint)
- Ability to handle sensitive information with confidentiality and professionalism.
- Proven ability to manage complex calendars, prioritize tasks, and handle high-stakes situations calmly and effectively.
