Job Summary 

We are seeking a reliable and organized Receptionist to be the first point of contact for our Salt Lake City office. The ideal candidate will be an exceptional communicator, detail-oriented, and committed to providing a welcoming and secure environment for our team and visitors. In this role, you will be responsible for managing the front desk, coordinating daily lunches for our office, supporting office events, and maintaining a well-stocked lunchroom. You’ll play a key part in our day-to-day operations, ensuring our office runs smoothly and employees are well-supported. 

Responsibilities

Front Desk/Reception 

  • Greet and verify all visitors, ensuring they sign in, provide identification, and are escorted by authorized team members as needed
  • Coordinate the visitor schedules, including conference room management, ensuring a positive experience. Particularly working closely with executive assistants to manage the Executive Team visitors. 
  • Manage building access for team members, visitors, and vendors by issuing guest passes and monitoring entry points.
  • Maintain visitor logs and enforce access control to secure areas.
  • Protect sensitive information by maintaining confidentiality and promptly reporting any suspicious activity.
  • Screen and distribute mail and packages securely. 

 Administrative Support

  • Route voicemails and emails professionally, ensuring adherence to company policies on information security. 
  • Schedule and coordinate meetings, interviews, and appointments.
  • Manage office supplies, including security-related items like badges and visitor passes, ensuring stock availability.

People Team Support

  • Provide administrative support to the People team.
  • Ordering lunches, snacks, beverages, and office supplies.
  • Manage inventory.
  • Morning stock and kitchen prep for the day.
  • Partnering with the office manager to create monthly office activities.

Security 

  • Participate in ongoing security training to stay updated on best practices, policies, and company-specific IP protection strategies. 
  • Identify and recommend improvements to reception and administrative processes to enhance efficiency and security. 

 Qualifications 

  • Strong attention to detail, especially concerning security protocols and confidentiality.
  • Excellent communication and organizational skills, with the ability to multitask effectively.
  • Proficiency in using office software and technology, including scheduling tools and visitor management systems.
  • Prior experience in a security-conscious or administrative role is preferred.
  • Ability to respond calmly and efficiently in emergency situations. 

Work Schedule and Employment Details

  • This is a part-time position scheduled for 29 hours per week, with regular work hours from Monday to Friday during standard business hours. The role requires on-site presence at our office each day and is not eligible for benefits.
  • This position is ideal for individuals seeking a consistent, part-time schedule in a professional environment.
