Senior Administrative Assistant

We are seeking an experienced and professional Senior Administrative Assistant to support a Firm Partner as part of their administrative team. This successful candidate will also collaborate closely with other members of the ICONIQ Growth Support Team and other ICONIQ colleagues across the firm. This role sits within ICONIQ Growth which partners with founders defining the future of their industries to transform the world.

 

What You’ll Do:

  • Ensure seamless flow of executives’ day to day activities and manage all related components.
  • Own and proactively manage complex, high-volume, and both internally and externally focused calendars across multiple time-zones.
  • Seamlessly coordinate both domestic and international travel, often on short notice and at times outside of business hours.
  • Manage data entry, tracking and coordination for a variety of initiatives, including contact management in both Outlook and Salesforce, logging of prospect and portfolio interactions, tracking team action items and ideas, and introductions made across the network
  • Take care to build internal rapports across the Growth team and work collaboratively with other EAs within Growth and colleagues across the firm.
  • Create and implement systems to elevate efficiency and effectiveness of administrative processes.
  • Assist with planning and executing internal and external events of varying scales and themes.
  • Timely responsiveness outside of “regular” business hours.

 

Ideal Candidate Background:

  • 2+ years of experience in an admin support role and 1+ years of experience working in Private Equity, Investment Banking and/or Consulting environments strongly preferred but not required.
  • Strong communication skills, unquestioned integrity, and the confidence, and the ability to work with all levels of the firm including external counterparts.
  • Strong time management skills: ability to handle multiple concurrent assignments with a strong degree of accuracy and meet deadlines in a high-pressure environment.
  • Expert experience with Microsoft Office required, experience with Salesforce and Monday.com ideal but not required.

Location: Applicants are expected to work onsite in our San Francisco office in accordance with our hybrid working policy.

 

Compensation Range: ICONIQ is required by law to include a reasonable estimate of the salary range for this role, together with other compensation being offered such as a discretionary bonus, health insurance, and other perks. There are several factors taken into consideration in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At ICONIQ, we apply a total reward philosophy where all aspects of compensation and benefits are taken into consideration in determining compensation terms. A reasonable estimate of the current salary range is $110,000.00 - $120,000.00 together with a discretionary bonus and a comprehensive benefits program.
