The Summer Olympic and Paralympic Games will be hosted in Los Angeles, California in 2028, returning to the United States for the first time in over 30 years. 2028 will be the first time LA hosts the Paralympic Games, creating an opportunity to expand awareness, understanding and inclusion of people with disabilities.

Venue Group Associate:

The Event Management team is responsible for leading the integrated event operational planning at the venue level for all competition and training venues and some major non-competition venues.  The venues are assigned to specific Event Management “Groups”. Each group is responsible for managing and coordinating the negotiation of venue agreements, site visits, the collation and organization of venue-related documentation and data, and the maintenance of strong working relationships with all venue partners.  At Games Time, the Event Management team leads and manages the event teams at venues, event delivery, venue communication, and venue issue resolution.  

The Venue Group Associate, Event Management will be responsible for supporting venue-related event operational planning, coordinating venue partner engagement, managing and distributing information, and providing project management support across a group of competition and non-competition venues.  

The ideal candidate will be organized and detail-oriented, with strong foundational skills in project coordination and information management, preferably in events. Analytical skills and familiarity with dashboards and reporting tools will be essential to help monitor progress and performance. Comfortable juggling multiple tasks, they will assist in coordinating venue partner information, tracking action items, managing reporting and assisting in the planning and execution of venue operations. Frequent, clear, and consistent communication with cross-functional venue teams (Venue Infrastructure, Sport, Technology, etc.) will be key to their role.  

This position will report to the Venue Group Director.

Key Responsibilities:

  • Support cross-functional event and venue operational planning including collating information from internal and external stakeholders, preparing planning materials, developing presentations, coordinating planning sessions, and supporting communication with functional areas and venue partners. 
  • Provide venue-related project management support including preparing status reports, tracking completion of deliverables, maintaining timelines, and developing and monitoring task lists.   
  • Track and monitor status of event risks, operational issues, planning decisions, and actions for venue group. 
  • Provide meeting management support including developing, collating and distributing meeting agendas and related materials, inviting participants and tracking attendance, drafting meeting minutes, and following up on meeting action items. 
  • Assist team with gathering and preparing presentation materials for varied audiences, including internal functional areas, Games stakeholders, and senior leadership. 
  • Provide contract management support by documenting key agreement issues and distributing to relevant internal functional areas for resolution, summarizing key agreement provisions, and tracking timelines for contract deliverables. 
  • Track and coordinate site visits with venue partners for internal and external stakeholders including arranging site visit logistics, confirming participants, and communicating instructions as needed. 
  • Track and coordinate venue-related information requests from stakeholders, organize information, maintain event databases and contacts lists, and distribute information as needed.  
  • Provide support for new hire onboarding and orientation as required. 

Background & Qualifications:

  • 2+ years of relevant experience in project coordination, data management, or operational support in a fast-paced environment such as event, sports, or complex organizational setting 
  • Ability to work successfully with varied audiences showcasing strong communication, teamwork, and interpersonal skills 
  • Ability to address and resolve conflicts effectively, especially when coordinating across diverse teams with differing priorities 
  • Extremely detail-oriented with excellent organizational, operational and program execution skills 
  • Well-developed problem-solving skills and ability to work independently, while also knowing when to seek feedback and buy-in  
  • Demonstrated ability to prioritize and contribute under pressure, see a project through to completion, and meet tight deadlines  
  • Ability to handle sensitive information with discretion  
  • Demonstrated commitment to co-creation and collaborative decision-making

Background & Qualifications:

  • Prior experience in event planning or venue operations to understand unique challenges and requirements for high-stake events like the Olympics and Paralympics

Position Requirements:

  • Available to work in-person five days a week in Los Angeles-based office
  • The majority of work will be conducted in an office setting, requiring extended periods of time using computers, phones, and other office equipment
  • Ability to travel occasionally to different venues across the Los Angeles region and possibly outside the Greater Los Angeles region.  

Education:

  • Bachelor's degree or equivalent work experience

The annual base salary range for this position is $70,000.00 - $75,000.00. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28’s operational business needs and applicable law.
