Insights & Personalization Senior Dept Assistant JD 

About the team: 

The PlayStation Studios Insights & Personalization team supports the growing number of game development studios owned by PlayStation. We provide Research, Analytics, and Personalization tools to empower our game studios to make the best possible games for our players. The candidate will support 1 VP and 2 Senior Directors and their staff in providing high-level administrative assistance as well as handling the coordination for on-site workshops and social events. 

Specific duties: 

Administrative Support: 

  • Manage calendars, coordinate meetings, and handle travel arrangements for 1 VP and 2 Senior Directors, and provide occasional support for their directors. 

  • Prepare and submit expense reports and travel requests using Concur. 

  • Support workflows to track department performance vs. annual goals. 

  • Facilitate onboarding for new employees and contractors. 

Operations & Process Management: 

  • Maintain and improve filing and database systems. 

  • Oversee general office management, including supplies, hardware/software, inter-office mail, and purchase orders in SAP. 

  • Serve as a resource for department processes, policies, and troubleshooting. 

Event Planning & Team Culture: 

  • Plan and coordinate hosted events, on-site workshops, and social activities. 

  • Partner in fostering a fun, inclusive team culture by organizing onboarding, recognition, and swag distribution initiatives. 

  • Assist with team meetings by preparing materials, ordering food, and setting up conference rooms. 

Collaboration & Communication: 

  • Liaise with Executive and Administrative Assistants across the company to ensure seamless communication and coordination globally. 

  • Stay up to date on company policies and procedures, sharing updates with the department as needed. 
     

Preferred qualifications: 

  • 3-5 years of experience as an Executive Assistant or Group Admin, or relevant work experience 

  • Proven ability to assist a complex, multi-department, global team 

  • Track record of high quality, detail-oriented work / recommendations from prior team leaders 

  • Maintain a high degree of confidentiality/discretion 

  • Strong interpersonal and communication skills (written and verbal) 

  • Process-oriented and organized, with attention to detail and ability to handle multiple assignments concurrently 

  • Strong problem-solving skills, with friendly, outgoing, and flexible manner 

  • Self-starter and results-oriented 

  • Proficient user of Microsoft Office (Excel, PowerPoint, Outlook, Word), Concur, and SAP 

  • Ability to work in a fast-paced and dynamic environment
