Recruiting Operations Specialist

About the Role
We’re looking for a detail-driven, systems-savvy Recruiting Operations Specialist to join our high-performing Talent team at Tubi. This is a critical role that blends logistics and operations—you’ll lead interview coordination across all departments and be our go-to expert for recruiting systems, reporting, and process improvements.
In this role, you’ll drive a high-quality, high-touch candidate experience while partnering closely with recruiters, hiring managers, and interviewers to keep our hiring process moving smoothly. You’ll also own recruiting data integrity, help scale operational workflows, and bring clarity and structure to a fast-paced, evolving environment.
This is a hybrid role that can be based in Los Angeles or San Francisco.
Responsibilities
- Lead end-to-end interview scheduling across business and technical teams, managing logistics with speed, accuracy, and care
- Act as point of contact during virtual onsites, resolving real-time scheduling or tech issues as needed
- Ensure every candidate interaction is timely, thoughtful, and reflective of Tubi’s values
- Maintain accurate and complete recruiting data in Greenhouse and Workday, including stage movements, scorecards, and source tracking
- Generate and validate reports and dashboards to support recruiting visibility, performance tracking, and decision-making
- Analyze recruiting metrics (e.g., time to fill, candidate experience scores) to identify trends and opportunities for improvement
- Develop and maintain documentation and training resources that support operational consistency across the team
- Support onboarding logistics, including background checks and coordination during the offer-to-start window
- Contribute to team projects and initiatives that drive efficiency, elevate the hiring experience, and strengthen operational excellence
About You
- 3+ years of experience in recruiting coordination, talent operations, or a similar role managing logistics, systems, and stakeholder communication
- Proficient in Greenhouse, Workday, Gem, G Suite, and Slack—you know how to use these tools to drive efficiency and support team needs
- Exceptionally organized with sharp attention to detail—you catch inconsistencies, manage complexity, and keep things on track
- Comfortable building and interpreting recruiting reports, with an eye for spotting trends and surfacing operational insights
- Clear and proactive communicator who thrives in fast-paced environments and navigates shifting priorities with ease
- Solutions-focused and resourceful—you anticipate needs, follow through, and improve how things work
- Energized by structure, process, and operational excellence—and motivated to help scale inclusive, effective hiring practices
Pursuant to state and local pay disclosure requirements, the pay range for this role, with final offer amount dependent on education, skills, experience, and location is listed annually below. This role is also eligible for an annual discretionary bonus, long-term incentive plan, and various benefits including medical/dental/vision, insurance, a 401(k) plan, paid time off and other benefits in accordance with applicable plan documents.
California Compensation
Base ($70,000 to $100,000 / year) + Bonus + Long-Term Incentive Plan + Benefits
