Position Summary:

We are seeking a highly organized and proactive Senior Administrative Assistant to support our Firm’s Leadership team. The ideal candidate will have a strong background in administrative assistance, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Provide comprehensive administrative support to leadership team members, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit various reports and presentations for meetings.
- Handle confidential information with discretion and maintain a high level of professionalism.
- Coordinate and manage communication between executives, attorneys, and owner
- Organize and maintain files, both electronic and physical, ensuring documents are easily accessible and up-to-date.
- Assist with the coordination and preparation of meetings, including creating agendas, presentations, taking notes, ordering food, and following up on action items.
- Manage expense reports for the executive team
- Oversee mail, voicemails, and other correspondence to ensure the executive is receiving important information in timely fashion
- Support special projects and initiatives as required.
Qualifications:
- Bachelor’s degree in Business Administration, Legal Studies, or a related field preferred.
- Minimum of 5 years of experience as an assistant or executive assistant
- Previous experience in a law firm a plus
- Keen ability to foresee executive needs and learn how they best operate
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal research tools.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- High attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
- Previous experience in Concur, FileVine or Power BI a plus
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stand/Sit – Must be able to remain in a stationary position up to 50% of the time.
- Walk – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc.
- Use of hands/fingers to handle or feel – constantly operates a computer and other office machinery such as a copy machine/printer.
- Climbs stairs – May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Carry weight/lift - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
