Role: Executive Assistant
As an Executive Assistant at Ambient Enterprises, you will play a vital role in ensuring the smooth operation of administrative functions for key members of our C-Suite. This position is ideal for someone with extensive knowledge in administrative tasks and a knack for optimizing workflows. Our executives are distributed, but our HQ is based in New York City. Ability to be in-office is ideal. This role offers an opportunity for growth and development within our dynamic company!
Responsibilities:
- Coordinate and manage daily administrative tasks, ensuring timely completion and adherence to company standards.
- Work with CEO, COO and other executives to manage calendars, meeting space, attendee lists, agendas meeting minutes and ensure all are completed successfully.
- Proactively review executive calendars to ensure conflicts are minimized and time efficiencies are capitalized, while actively providing daily reminders.
- Schedule and book flights, hotels, transportation, restaurants and applicable details.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and confidentiality.
- Serve as a liaison between executives and internal/external stakeholders, handling communications and inquiries professionally.
- Organize and manage executive files and documents, ensuring easy access and up-to-date records.
- Coordinate and support special projects as needed, ensuring timely completion and alignment with organizational goals.
- Extract data from ERP & CRM systems as required.
- Exemplary planning and time management skills.
- Maintain the highest level of discretion and confidentiality.
Requirements:
- 5+ years of experience in an Executive Assistant role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Excellent communication skills, both written and verbal, with a keen eye for detail.
- Ability to work independently and make decisions within established guidelines.
- HVAC industry knowledge is a plus.
- Some overnight travel may be required for corporate functions.
Estimated Salary: $90,000 - $110,000 with flexibility based on experience.
