Position Overview
The Executive Assistant II will provide essential administrative support to the HUMINT & Sensitive Activities Directorate within the Office of the Under Secretary of Defense for Intelligence and Security (OUSD(I&S)). This role involves managing daily administrative tasks, supporting leadership, and ensuring efficient operation within a highly sensitive environment.

Job Responsibilities and/or Success Factors
- Calendar and Meeting Management:
- Assist in maintaining leadership’s daily calendar and arranging meetings, conferences, and video-teleconferencing sessions.
- Support the preparation and distribution of meeting invitations and manage attendee contact rosters.
- Travel Coordination:
- Assist with preparing travel arrangements for leadership and developing travel reports using the Defense Travel System (DTS).
- Administrative Support:
- Support leadership by arranging for official local transportation and managing reimbursement for expenses.
- Track and report weekly work/leave status of personnel via the Defense Agencies Initiative (DAI) Portal.
- SCIF Administration:
- Assist as the administrative point of contact for government staff in a Sensitive Compartmented Information Facility (SCIF).
- Aid in monitoring access, maintaining office files, and tracking action items in the OUSD(I&S) suspense portal.
- Document and Correspondence Management:
- Provide support for correspondence actions, including formal letters, memoranda, and briefing packages.
- Ensure documents are prepared in the appropriate DoD format and retained in accordance with federal records disposition schedules.
- Records Management:
- Help maintain records for control and accountability of classified correspondence and special access materials.
- Ensure all office records are marked, filed, and retained in accordance with OSD and federal records disposition schedules.
Education and Minimum Qualifications
- Must be a US Citizen with an active TS/SCI Clearance.
- Minimum of 1 year of experience in administrative support or a related field.
- Experience in a government or military environment is preferred.
- Strong organizational, communication, and interpersonal skills.
- Proficiency in managing classified information and understanding of security protocols.
- Ability to work independently and collaboratively in a high-stakes environment.
