Fleet Coordinator

Position Overview: The Fleet Coordinator supports a wide range of fleet management activities, including, but not limited to, fleet preventative maintenance, scheduling vehicle reservations, conducting site tours, and driving. This role provides departmental coverage and performs additional duties as assigned by the manager. This role requires effective organizational skills, punctuality, and a customer service-oriented approach.
Essential Duties & Responsibilities:
- Schedule repairs or preventative maintenance for all company fleet vehicles and equipment - such as oil changes, state inspections, fuel, washing, detailing, bodywork, and upfitting.
- Assist with the scheduling of the Azuga Telematics installations and de-installations for all vehicles.
- Coordinate the scheduling of all fleet reservations – including entering vehicle data into the fleet database.
- Administer the Fleet policy to all new drivers, and ensure they are cleared to drive prior to assigning a vehicle.
- Schedule vehicle safety recalls as needed.
- Interface and liaise with mechanic shop owners and mechanics to ensure vehicles are being repaired in a timely manner.
- Provide support with tracking and collecting information for all fleet vehicle accidents.
- Collect, track, report, and submit payment for parking and traffic violations.
- Submit and track invoice payments for various fleet related expenses including updating vehicle spreadsheet trackers.
- Input all vehicles in-house inspections for all leased and owned vehicles into the Azuga database.
- Drop-off and pick-up vehicles at various locations as needed.
- Provide vehicle roadside assistance or coordinate roadside assistance when needed.
- Road test program drivers in the use of pick-up trucks, plows, and the 15-passenger van.
- Support with NYS Department of Motor Vehicles to conduct plate returns and new vehicle registrations as needed.
- Provide driver support for executive drives and site tours.
- Other duties as assigned.
Other Responsibilities: Ability to work overtime with short notice.
Qualifications:
- 3+ years of driving experience within the NYC metro area.
- High school diploma or equivalent.
- Proficiency in Microsoft Office.
- Possession of a valid NYS driver’s license.
- Commitment to delivering high-quality work and providing excellent customer service.
- Ability to prioritize tasks effectively and manage time efficiently in a fast-paced environment.
- Proven capability to work collaboratively in a team setting, as well as independently with minimal supervision.
- Maintain a professional demeanor, attitude, and appearance.
- NYC residency within 180 days of hire.
Salary Range
$60,000 - $62,000 USD
