Role overview:
Sony Interactive Entertainment, Benelux is the part of Sony that takes care of the marketing, sale and distribution of various computer entertainment platforms (PlayStation®5, PlayStation® VR) and associated accessories and software. From Hilversum, a total of 24 employees supports the entire Benelux.
You will work autonomously but under the operational guidance of the EMEA Workplace Manager. Your role includes performing secretarial duties from your office, supporting management, and overseeing the daily operations of the office. Consequently, each day will be different, requiring prompt action.
What you'll be doing:
Office Administration:
- Answers the phone, screens and transfers calls, takes messages, and handles enquiries and requests for information.
- Organise Office access and parking access.
- Handles incoming and outgoing mail and packages.
- Takes care of the post and in particular forwarding incoming post for all subsidiaries registered at the company’s address.
- Supports the recruitment of staff, temporary workers, trainees.
- Follows the inflow, throughflow and outflow of personnel.
- Takes care of registrations at training institutions for employees, including emergency response course training.
- Organise staff events and online activities; lunch, Sinterklaas, Christmas, Kick off.
- Organise lunch cards and canteen supplies.
- Organise, review and approve travel requests.
Facility Management:
- Is responsible for the cleanliness and safety of the office.
- Is responsible for the proper functioning of the technical facilities.
- Selects suppliers and monitors the quality of deliveries/services (such as equipment, office supplies, cleaning, security and mobile telephony).
- Manages ongoing contracts, collecting, archiving and following up on contract renewals.
- Manages mobile devices and subscriptions (ordering, costs incurred, defects).
- Orders office supplies, IT accessories, furniture, canteen and lunch.
- Tracks malfunctions/complaints office equipment (excl. ICT) and services.
- Is the point of contact for employees/external parties for facility matters from around the office.
- Represents the company at tenant meetings.
- Is the contact person for alarm and emergencies.
- Maintains access badges, keys, parking access and alarm codes.
- Follows up alarm alerts.
- Submits orders in SAP for the office and approves invoices.

- Experience working within a People Operations/Facilities environment
- Flexibility and adaptability
- Excellent organisational skills
- Good customer service skills
- Tact and diplomacy
- Good IT skills including Microsoft Office (especially Excel & Power Point)
