The Summer Olympic and Paralympic Games will be hosted in Los Angeles, California in 2028, returning to the United States for the first time in over 30 years. 2028 will be the first time LA hosts the Paralympic Games, creating an opportunity to expand awareness, understanding and inclusion of people with disabilities.

The LA28 organizing committee is an independent, non-profit organization that is privately funded and governed by a board of directors.

Senior Associate, Events and Engagement:

Reporting to the Vice President and supporting the Events & Engagement team, the Sr. Associate collaborates with multiple internal departments and external stakeholders to oversee all project administrative responsibilities and offer hands-on support in the planning and onsite execution of organizational meetings, conferences, events and deliverables required of the LA28 Olympic and Paralympic Organizing Committee, the U.S. Olympic and Paralympic Properties (USOPP) and Team USA Partners. 

 

The LA28 Events and Engagement team works cross-functionally with all LA28 and USOPP functional areas, operating in an internal agency role within the organizing committee to ensure that each team’s meeting and event logistic needs are met. From venue selection to vendor contracting and onsite production, the team manages all logistical details and makes best efforts to deliver event solutions that feature inclusive and accessible design, sustainability measures and economic impact through the engagement of local, small and diverse vendors whenever possible. Examples of events for which the team is responsible include the annual USOPP partner summit, LA28 hotel summit, external stakeholder educational conferences and briefings, LA28 board meetings, all-staff meetings, International Olympic and Paralympic Committee visits, meetings and more. 

 

Key Responsibilities:

  • Management of all department event-related administrative operations, including: 
    • Uploading vendor contracts into the LA28 online system; tracking and management of communication between internal legal team and external vendors throughout contract negotiation and execution 
    • Collaboration with LA28 procurement and finance teams to manage onboarding, purchase order requisitions, invoice submission and payment for all event vendors 
    • Collection of vendor certificates of insurance and management of all event files and documentation 
    • Management of weekly event status reports 
    • Management of event team calendars, meeting cadence, vendor database and scheduling of site visits and offsite meetings
    • Compilation of post-event debriefs and wrap-up reports/decks compiling event analyses, learnings and results 
  • Support the team in planning, production and onsite logistics execution for domestic and international meetings, receptions, conferences, dinners, marketing activations and Games-time events (event elements may include registration, travel, accommodations, food & beverage, rentals, audio-visual, gifting, transportation, excursions, entertainment, security, staffing, inclusive design, sustainability measures and additional vendor relations) 
  • Ideation and collaboration with multiple cross-functional departments to execute against their specific event/meeting needs. While there may be times that we support the team delivering external, public fan engagement events; this team primarily supports internal departments with their meeting, event and hospitality needs.   
  • Logistics and protocol support for all official visits to Los Angeles by IOC and IPC representatives, International Federations, National Organizing Committees, and other key Olympic and Paralympic stakeholders 
  • Creation and management of event registration and RSVPs through existing platforms and other event management tools 
  • Cross-collaboration with Consumer Products team for timely ordering of branded licensee product and gifting elements for events 
  • Monthly meetings with Brand Design team and management of print/fabrication vendors for production of branding elements or content for merchandise, registration materials, signage and digital branding event needs 
  • Management of event materials inventory (signage, branding, tents, tables, equipment, etc.) used by multiple functional areas for conferences, marketing activations, community and employee engagement events  
  • Onsite management of vendors and hands-on load-in/load-out operations of all event elements, including physical labor and a ‘roll-up-your-sleeves’ attitude 
  • Other related duties as directed and necessary for support and successful event delivery  

Background & Qualifications:

Position Requirements:

Education:

  • No formal education required, a 2-year college or 4-year university degree is a plus;  three years of relevant work experience is required.

Expectations:

  • Minimum three years experience in the events or hospitality industry 
  • Demonstration of exceptional organizational skills in previous work experience, juggling extensive administrative processes for multiple high-profile events in tandem 
  • Hands-on, ‘roll up your sleeves’ attitude – this position involves physical event preparation, load-in, setup and load-out for indoor and outdoor events, city and venue tours 
  • Service oriented, with strong organizational and communication skills 
  • Creativity, flexibility, and ‘in the moment’ problem-solving skills are a must 
  • Excellent written and oral communication skills, attention to detail, ability to multi-task in a fast paced, high volume and pressurized environment with tight turnarounds and deadlines 
  • Must be computer literate with excellent data entry and proof-reading skills / Proficiency in Microsoft Office (with extensive knowledge of Outlook, Excel and PowerPoint) 
  • General Understanding of registration processes and procedures
  • Demonstrated commitment to Diversity, Equity, Inclusion and Belonging in event design and team engagement

Physical Requirements and Working Conditions 

  • Must be able to work in a mainly in-person environment, 4-5 days in our Los Angeles office 
  • Ability to lift and transport event materials (up to 50 lbs), including signage, branding materials, tents, tables, and equipment. 
  • Prolonged periods of standing, walking, and working outdoors during event setup, execution, and breakdown. 
  • Comfortable working in various environments, including indoor venues, outdoor spaces, and large-scale event locations. 
  • Ability to travel domestically and internationally as needed. 
  • Must be able to accommodate a flexible schedule including some weekends and evenings during high-volume event dates 
  • Ability to navigate large event spaces and venues, including walking long distances and using stairs or uneven terrain

Desired Skills (but not required): 

  • Understanding or frequent use of any of the following programs/platforms: Agiloft, Smartsheet, Workday, Photoshop, CAD, Canva, Prismm or similar 
  • Excellent PowerPoint presentation deck-building and/or design skills 
  • Fluency in the French, Italian and/or Spanish languages 
  • Advanced skills in Microsoft Excel 
  • Experience with inclusive/accessible event design and event sustainability efforts

The annual base salary range for this position is $75,000.00 - $90,000.00. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28’s operational business needs and applicable law.
