As our firm grows and handles an increasing volume of complex cases, the need for a dedicated Operations Coordinator has become paramount. This role is crucial in ensuring that our processes run smoothly, our teams remain aligned, and every case progresses without delays. What you’ll do:
- Operational Oversight: Ensure the smooth execution of daily operations by tracking case statuses, contracts, workflows, and other deliverables. Monitor the overall operational flow remains uninterrupted by monitoring progress, identifying bottlenecks, and resolving issues at a systems level. Maintain oversight of deliverables from attorneys, team members, and clients, ensuring they are completed promptly and efficiently.
- Team and Workflow Coordination: Collaborate with intake, sales, and operations teams to ensure alignment in their efforts and seamless transitions between stages. Facilitate communication and handoffs during critical points such as onboarding new cases or moving them through different phases. Support cross-team workflows by fostering collaboration and ensuring all efforts connect seamlessly to maintain overall efficiency.
- Process Development and Improvement: Create, implement, and refine processes to enhance efficiency and effectiveness. Develop Standard Operating Procedures (SOPs) and establish workflows for hiring, onboarding, and team management. Ensure high follow-through on all initiatives, driving improvements in system efficiency and team performance.
- KPI Tracking and Strategic Support: Monitor and track Key Performance Indicators (KPIs) to evaluate operational effectiveness and team performance. Ensure KPIs are consistently measured, reported, and leveraged to identify trends, address challenges, and drive continuous improvement. Provide actionable insights to leadership, supporting informed decision-making and aligning initiatives with the firm's long-term goals.
- Social Media and Marketing Oversight: Monitor and gather data from the firm’s social media platforms and other outreach efforts. Provide insights and reports to improve visibility, engagement, and alignment with firm goals.
- Vendor Coordination: Collaborate with vendors to ensure smooth operational support and maintain effective partnerships. Oversee vendor-related processes, including negotiating contracts and agreements, to secure the best terms and ensure timely delivery of services aligned with the firm’s operational needs.
- Billing and HR Support: Support billing operations by coordinating administrative needs and streamlining processes. Assist with HR-related activities, including onboarding new hires and managing employee processes, to ensure efficient and seamless internal operations.
What we’re looking for:
- Experience: 2-4 years of experience in an operational or administrative role, preferably in a fast-paced environment. Candidates with a track record of taking ownership of tasks and delivering results independently are highly valued.
- Language and Communication Skills: A highly effective communicator with exceptional written and verbal skills, capable of conveying information clearly and professionally. Brings a positive, engaging energy to interactions, fostering collaboration and enthusiasm that inspires and motivates others. Bilingual proficiency in Spanish is highly advantageous but not required.
- Technical Proficiency: Familiarity with legal operations or platforms like Clio, O365 Suite/Teams, or Docketwise is a strong advantage. Competence in leveraging technology to support operational efficiency and data management is preferred.
